Pre-Qualifying Questionnaire Templates

As part of your branch Street App & Portal settings you can setup pre-qualifying questionnaires for applicants, ensuring you gather important information before progressing with their enquiry.

The pre-qualifying questionnaire feature allows you to create separate questionnaires for Sales and Lettings with the ability to add your own custom questions, hide the default questions and use conditional logic to determine who books straight in for a viewing and who’s flagged for review. Additionally, all applicant responses are saved instantly in the Street Enquiry Centre for you to review.

Depending on your configuration, applicants can either complete the questionnaire when booking a viewing online, if you have online viewings enabled, or by following the link in the 'auto responder' email that is sent after they submit an enquiry via the portals (Rightmove, Zoopla, OnTheMarket etc).

Setting up your Pre-Qualifying Questionnaires

Head to Branch Settings > Street App & Portal > where you will see Pre Qualifying Questionnaires for sales and lettings.

Note - To access the Pre-Qualification Questionnaire settings you will the Branch or Company Admin role and have the permission 'Allow this user to manage questionnaire' enabled.

Both sales and lettings have several pre-set qualifying questions that cannot be edited or deleted however these can be hidden if you don't want to include them.

Your Templates

From the questionnaire page you will see the 'Your Templates' section on the left hand side. From here you can add new templates, edit existing ones and duplicate questionnaires.

Additionally, if you have more than one template, you can choose which one should be used by default. The questionnaire set to default will be used within each property's viewing preferences however if you have multiple pre-qualifying questionnaires you can choose which one to use per property. It will also be used online bookings, if enabled.

Adding, editing, duplicating and deleting a template

  • To add a new template, click the 'add a template button' and you can begin setting up your questions.

  • To edit a template, click the pencil icon.

  • To duplicate a template click the two document icons where you can choose if you want to duplicate to the current branch you are in or a different branch (useful for multi branch agencies that use the same pre-qualifying questionnaire format).

  • To delete a template, you can click the bin icon.

Setting the template title

You can edit the title of the pre-qualifying questionnaire template by clicking into the template and clicking the pencil icon at the top. This title is internal only and for your reference, it will not show to applicants.

Questions

By default, each template will have a list of pre-set questions including the most common questions for typical viewing qualification such as budget and mortgage status for sales or employment status and number of occupants for lettings.

These questions can be re-arranged, hidden and have rules added to them however it is not possible to delete default questions - if you don't want to use them, you should hide them instead.

Adding your own questions

You can add your own custom questions by clicking the '+ add question' button at the bottom of the template.

For each custom question you will need to enter a title and choose the type of question, eg short text, number, currency, single option, date etc which will determine what data the applicant can enter / select from.

If you select single or multiple option, you will additionally need to enter each answer option that an applicant should be able to select from. To delete an answer option, simply click the three dots on the right and click 'remove'.

There is also a question type called 'legal'. This option is a pre-set checkbox style question where the client must select the box to confirm that they have answered truthfully and understand that if any information is found to be incorrect their application or any later offers may be rejected.

Custom questions can be duplicated by clicking the 'copy' or deleted entirely by clicking the bin icon, both located at the top right of the question.

Rearrange and hide questions

Both default and custom questions can be hidden should you choose to not include them by clicking the 'hide question' toggle and the order of questions rearranged by hovering over the question and dragging and dropping via the dots:

Rules

Single Option and Multiple Option questions can have rules applied to them using the 'add rule' button.

If online bookings are enabled, you can create a rule that only allows the applicant to submit a viewing request rather than booking directly if they choose a specific answer.

If online bookings are disabled, the rule will instead flag the submission as unsuccessful for the applicant.

All flagged submissions appear in your Enquiry Centre for manual review, along with all the applicant's answers.

Follow-Up Questions

Whether you have online bookings enabled or disabled, you can also add conditional follow-up questions that only appear when an applicant selects a specific answer. For example, if an applicant answers "Yes" to "Do you have a property to sell?", you can show a follow-up question asking for the status of that property.

Follow-up questions can be any question type but the follow up question cannot have it's own rule, so you cannot chain nested questions together.

Note - Rules and follow-up questions are only available on Single Option and Multiple Option question types. And follow-up questions can only be added to custom questions, the follow-ups on default questions cannot be edited.

Publishing the pre-qualifying questions

When you are happy with the questions and ready to proceed, simply click the 'Publish' option at the bottom right to make the questions live. Going forward, when any applicant goes to book a viewing online they will be shown those questions.

Note - Until you click 'publish', your updated questions will not be live for applicants to see.
