How to manage recurring charges on a ledger

There are two types of charges in Street: One off charges (simply referred to as Charges) and Recurring Charges.

Adding either charge to a ledger will create a debit on that ledger and reduce the balance accordingly.

Recurring Charges

Recurring charges are charges that will continually charge on a regular basis. In most cases this will be for rent charges however some other examples are rent guarantee insurance fees (for owners) or utility bills fees (for tenants).

Each morning at 3am the system will run a check for any recurring charges that are due within 7 days and generate them on the relevant ledgers, ready for your morning accounting. These charges will show as 'upcoming' on the ledger.

Adding a recurring charge

You can add recurring charges on any of the following ledgers: tenancy, owner, contractor. It is not possible to add a recurring charge lettings application or agency ledgers.

To add a recurring charge, head to the relevant ledger and click actions > recurring charge.

From here you first need to select who the charge is payable to. For example, a tenancy setup fee on an owner ledger would be payable to the agency, while a service charge on a tenancy ledger may be payable to the owner or agency.

Next, enter the relevant details including the charge type, amount, date and charge description.

The frequency field is used to determine how regularly this charge should generate. You can choose between options like per week, month, quarter etc. And the start date field will determine when that charge should begin generating.

If you set the frequency and the start date as today's date, the recurring charge will show on the ledger immediately, as a debit, and will initially be unallocated. However if you select a date in the future, the charge will generate 7 days before the charge is due.

When finished, click 'save charge' and the recurring charge is now setup.

If that charge was added on an owner ledger, you can allocate this on the Allocate Funds step.

If the charge was added on a tenancy or contractor ledger you can either allocate manually on that ledger or allocate during the Receipt and Reconcile stage.

Important note - You do not need to manually add any management fees as recurring charges on an owner ledger. Management fees are automatically applied to any rent income on an owner ledger, brought over from when a rent charge on a tenancy ledger is allocated to.

Viewing a ledger's recurring charges

To view any existing recurring charges, head to the relevant ledger and click view > recurring charges.

Generating, editing or deleting a recurring charge

When viewing recurring charges, click the three dots on the right of the charge and you will see additional options.

Generating the next charge allows you to force the next charge to generate on the ledger, even if it's due in more than 7 days.

Edit allows you to edit the details of the recurring charge, including the amount, description and end date.

Delete allows you to delete the recurring charge altogether. This will not affect any charges that have already generated from that recurring charge.

Default Charges

As part of your accounting settings, company admins can set up default charge amounts and descriptions so when a charge type is selected, it will pre populate the required information ensuring the correct details are used.
