How do tenancy ledgers work in Street
Street makes it easy to track and manage your tenancy's accounting. Each tenancy will have a unique ledger for that tenancy which will remain the same regardless of how many terms the tenancy has. This enables you to keep an accurate record of incoming and outgoing money for the entire tenancy duration.
Accessing a tenancy ledger
The quickest way to access a tenancy ledger is to head to the tenancy page and click on the Accounting tab.
Alternatively from the property page you can click the accounting drop down at the top right and select 'tenancy ledger'
Tip! You can also quickly navigate from the owner ledger to the tenancy ledger using the 'view' drop down.
Tenancy ledger page
The tenancy ledger page gives you a full breakdown of the ledger including balance, next rent due date, outstanding and unallocated funds and the ledger of transactions.
Balance
The balance is the running total of the ledger, including all credits and debits. If the balance is less than £0 it means the tenant is in arrears and owes money (ie for rent).
This section can also show the pending balance, when there is an upcoming charge on the ledger, showing what the balance will be after that charge goes live.
Note - A positive (or £0) balance and a negative pending balance doesn't mean the tenancy is in arrears. It simply means there is an upcoming charge that will put them in negative when the charge is due.
Next Rent Due
The next rent due section looks at the recurring rent charge and the the 'payment day', showing the next payment day. Ie on the 20th March, a recurring rent charge with a payment day of the 1st of the month would show a next rent due date of 1st April.
Outstanding
The outstanding section shows the total amount of money that is outstanding on any charges on the ledger. This amount can be different to the balance in situations where there has been money received but there are still charges awaiting allocation.
Note - A negative outstanding amount doesn't necessarily mean the tenants owe this money, as you may have unallocated funds that just haven't been allocated to the charges.
Unallocated Funds
The unallocated funds section shows the total amount of money that is available on the ledger but has not been allocated to a charge.
Ledger
The tenancy ledger shows a list of entries that are relevant to the tenants, such as rent charges (payable by the tenants), rent received (payment sent by the tenants) and miscellaneous such as key replacement (payable by the tenants).
You can filter entries by a date range and charge type as well as the allocation status, allowing you to only see partially or fully unallocated charges, ie charges still due.
Additionally the 'show voided entries' checkbox on the left will show any voided entries on the ledger.
Note - It is not possible to void an entry on an owner ledger that has been involved in an allocation. If you need to void an allocated entry on an owner ledger, please speak to the Street Support team via Live Chat.

Clicking 'view' on a tenancy ledger lets you view any recurring charges or open the linked owner ledger.
You can also click 'actions' which gives you options to add a one off charge, add a recurring charge, add a credit note, generate a tenant statement export the ledger to CSV or issue a refund.
Note - It is only possible to refund a payment if there are available funds on the ledger.
Allocating money from the tenancy ledger
When receipting money into the tenancy ledger via the receipt and reconcile page, it will automatically allocate to any charges already on the ledger if you have Auto Allocation enabled in your settings. If money is receipted on while there are no charges, that money will automatically allocate when the charge generates at 4am in the morning.
Alternatively, you can manually allocate funds on a tenancy ledger by clicking the three dot menu on the right of the charge and selecting 'allocate to charge'.
Note - You will need available unallocated funds on the tenancy ledger to be able to allocate to a charge.
