How To Create And Manage Resource Folders

Why This Matters

Resource folders keep important documents, templates, and files organized in one place. Administrators can control access by role and map resource folders to specific offices so users see the resources relevant to the office they are logged into. A folder mapped to an office becomes available when the user logs into that office and opens “Resource Folder.”

What You'll Need

  • Admin access to SubcontractorHub

  • A web browser (Chrome or Edge recommended)

  • The roles and offices that should have access to the resource folder

Step-by-Step Instructions

Step 1

Click“Resource Folder” on the main menu.

Step 2

Click "+ Add."

Step 2: Click"+ Add."

Step 3

In the “Add Resource Folder” window, enter the required “Name,” select the applicable “Roles” and choose the “Office” where the resource folder should be available.

Step 4

Click "Add" to create the resource folder.

Note: A resource folder mapped to a specific office is available when a user logs into that office and opens “Resource Folder.” The folder will not appear when the user is logged into an office that is not mapped to it.

Step 5

Locate the created folder and click the "View Detail" icon.

Step 6

Under "Resources," click "+ Add."

Step 7

Enter the required information, such as "Name," and upload the document.

Step 8

Click "Add" to save the resource.

Note: You can update the resource folder’s “Name,” “Roles” and “Office” by clicking “Edit” in the “Update Resource Folder” section. After making your changes, click “Update” to save.

💡 An organization maintains different training materials for several offices. An administrator maps a resource folder to the applicable office so users can access those materials when they log into that office, without displaying the folder in unrelated offices.

Pro Tips

  • Map folders carefully: Select the office or offices that should have access to each resource folder.

  • Check both access settings: Review the assigned Roles and Office selections when controlling who can access a folder.

  • Verify from the office: Log into the mapped office and open “Resource Folder” to confirm that the folder appears as expected.

Troubleshooting

Problem

Solution

A resource folder does not appear after logging into an office.

Edit the resource folder and confirm that the applicable office is selected under “Office.”

A user cannot access a resource folder in the mapped office.

Confirm that the folder is mapped to the correct office and that the user’s role is included under “Roles.”

Changes to the office mapping are not reflected.

Confirm that you clicked “Update” after editing the resource folder.

A folder appears in one office but not another.

Review the “Office” selections for the folder. A folder mapped to a specific office is available when users are logged into that mapped office.
