How to set up an exception for train and flight booking conditions based on "travel duration" in a corporate travel policy?

Creating an exception for booking conditions in corporate travel policies.

As an administrator, you can set up an exception for train and flight booking conditions based on "travel duration" directly in the travel policies you create.

๐Ÿ‘‰ The "travel duration" exception is used to improve traveler comfort by modifying the booking conditions of a travel policy when a journey time exceeds a defined duration.

๐Ÿง‘๐Ÿฝโ€๐Ÿ’ป On your desktop computer:

  1. Click on your profile picture

  2. Click on the "Travel policy" tab

  3. Click on the "+ Add" button

  4. Give a name to the travel policy

  5. Choose the mode of transport to which this exception applies (Flight or Train) in the side menu

  6. Scroll down the window

  7. In the "Exceptions - Travel duration" section, click on the "+ Add an exception" button

  8. Set a travel time from which the exception can apply by clicking on the dropdown menus for "Hours" and "Minutes"

  9. Choose the authorized class (economy, business, etc.)

  10. Specify the "Variation of the maximum authorized price per journey", either as a percentage or in euros

  11. Click on the "Save policy" button

Home > Profile picture > Travel policy

๐Ÿง Good to know: you can also add an exception to the maximum authorized budgets based on "seasonality" in the travel policies you set up.

๐ŸŸ  Caution: don't forget to then assign the newly created travel policy to the concerned travelers. If you don't assign a travel policy to a user, they will automatically be attached to the default travel policy.
