As an administrator, you can set up a temporary exception for the maximum authorized budgets for train, flight, hotel, and car bookings directly in the travel policies you create.
๐ The "seasonality" exception is particularly useful for accounting for seasonal price variations. This feature allows you to adjust the maximum authorized price for different periods of the year.
๐ง๐ฝโ๐ป On your desktop computer:
Click on your profile picture
Click on the "Travel policy" tab
Click on the "+ Add" button
Give a name to the travel policy
Choose the travel service to which you want to apply this exception (Flight, Train, Hotel, Car) in the side menu
Scroll down the window
In the "Exceptions - Seasonality" section, click on the "+ Add an exception" button. For hotels, you must first click on the "+ Add a country / region / city" button before you can click on the "+ Add an exception" button
Define a date range using the calendar that appears by clicking on "Date range"
To have a seasonality exception automatically renewed each year, make sure to click on the "Automatically renew each year" button
Specify the "Maximum price variation" allowed, either as a percentage or in euros
Click on the "Save policy" button

๐ง Good to know: you can also add an exception to the booking conditions based on "travel duration" in the travel policies you set up.

๐ Caution: don't forget to then assign the newly created travel policy to the concerned travelers. If you don't assign a travel policy to a user, they will automatically be attached to the default travel policy.
