Updated over 2 months ago

As an administrator, you can set up a temporary exception for the maximum authorized budgets for train, flight, hotel, and car bookings directly in the travel policies you create.

๐Ÿ‘‰ The "seasonality" exception is particularly useful for accounting for seasonal price variations. This feature allows you to adjust the maximum authorized price for different periods of the year.

๐Ÿง‘๐Ÿฝโ€๐Ÿ’ป On your desktop computer:

  1. Click on your profile picture

  2. Click on the "Travel policy" tab

  3. Click on the "+ Add" button

  4. Give a name to the travel policy

  5. Choose the travel service to which you want to apply this exception (Flight, Train, Hotel, Car) in the side menu

  6. Scroll down the window

  7. In the "Exceptions - Seasonality" section, click on the "+ Add an exception" button. For hotels, you must first click on the "+ Add a country / region / city" button before you can click on the "+ Add an exception" button

  8. Define a date range using the calendar that appears by clicking on "Date range"

  9. To have a seasonality exception automatically renewed each year, make sure to click on the "Automatically renew each year" button

  10. Specify the "Maximum price variation" allowed, either as a percentage or in euros

  11. Click on the "Save policy" button

๐Ÿง Good to know: you can also add an exception to the booking conditions based on "travel duration" in the travel policies you set up.

๐Ÿ“Œ To learn how to set up an exception based on "travel duration", please consult the following article.

๐ŸŸ  Caution: don't forget to then assign the newly created travel policy to the concerned travelers. If you don't assign a travel policy to a user, they will automatically be attached to the default travel policy.

๐Ÿ“Œ To learn how to assign a travel policy to a user, please consult the following article.

โ˜๏ธ Note: this feature is only available on desktop for users with an "administrator" role on the platform.
