How to Create Email Automations

The Email Automations section allows you to create and manage personalized communications to send to your contacts, either manually or automatically.

This feature is ideal for organizing post-event follow-ups, nurturing campaigns, and large-scale commercial communications

Types of Available Automations

SalesAI offers two sending modes.

Standard Email

Standard Emails are sent manually to one or more groups of contacts and can be scheduled for a specific date and time.

They are ideal for:

  • One-time communications

  • Webinar or event invitations

  • Manual follow-ups

  • Scheduled campaigns

Automated Email

Automated Emails are sent automatically when a contact is added to a specific list.

They are ideal for:

  • Nurturing flows

  • Post-event follow-ups

  • Automatic sequences

  • Recurring communications

How to Create a Standard Email

  1. Go to the Email Automations section.

  2. Select Standard Email.

  3. Enter:

    • Template name

    • Subject (with any dynamic variables)

    • Message body

    • Attachments

  4. Click Save template.

  5. Select the recipient lists.

  6. Set the sending date and time.

  7. Click Save and proceed.

How to Create an Automated Email

  1. Go to the Email Automations section.

  2. Select Automated Email.

  3. Fill in the template.

  4. Click Save template.

  5. Set the delay relative to the trigger (days, hours, or minutes).

  6. Select the recipient lists.

  7. Activate the automation.

To send the email immediately after the contact is added to the list, set all values to zero.

Dynamic Variables

In the subject and message body, you can use dynamic variables to automatically personalize the content, such as the contact's name or company.

Campaign Monitoring

Each automation has a dedicated dashboard with several sections:

  • Sending report – sending status and statistics

  • Lists – associated recipients

  • Campaigns – linked campaigns

  • Qualification questions – any criteria used

Best Practices

  • Send the first follow-up within 24 hours of the event.

  • Personalize the subject and content of the message.

  • Use dynamic variables.

  • Monitor opens and clicks to evaluate effectiveness.
