Seeing your income and outstanding fees

Where to find revenue totals, outstanding balances, and fee breakdowns — across the Payments dashboard and the payment reports.

Financial data lives in two places in Teach 'n Go: the Payments dashboard for a live revenue summary, and Reports → Payment reports for row-level breakdowns you can filter and export. This article covers both.

Your school may use different names for students, teachers and classes. If you don't see the menu items below, ask your admin to check your permissions.

The Payments dashboard — your revenue overview

Go to Payments in the left sidebar, then select the Dashboard tab. Choose a date range at the top — everything on the page updates to match.

The dashboard shows:

  • Revenue received

  • Outstanding payments

  • Outstanding invoice total

  • Total fees paid and unpaid

  • Teacher fees table with a revenue column

  • Future revenue and upcoming fees scheduled

  • Students with the highest fees

  • Student fees by teacher

  • Payment status and payment method breakdowns

The dashboard has no export. The figures are on-screen only. To get the underlying data into a spreadsheet, use the payment reports below.

The Dashboard tab is visible to admins and users with full Payments access. If you don't see it, ask your admin.

Payment reports — row-level data you can export

Go to Reports in the sidebar, then open Payment reports in the left accordion. There are three reports.

Fees

The main fee report. A summary band at the top shows total billed, paid, outstanding and discounted amounts for the current filter. The table below gives one row per fee line.

Key filter to notice — "Date filter by": a toggle that switches the report between filtering by due date and filtering by paid date. Changing this toggle changes the meaning of the entire report, so set it before applying your date range.

Other filters: student, status (all / overdue / settled / up to date), date range, and free-text search.

Available columns include: student, related contact, preferred payment method, class, teacher, due date, paid date, payment method, description, frequency, amount, discount, status, total, and receipt number.

Outstanding payment

Shows only unpaid fees. Columns: student, teacher, class, due date, description, preferred payment method, frequency, amount, discount, total.

Total fees

A per-student roll-up showing total fees, paid fees and unpaid fees alongside contact details. Useful for a quick balance-per-student view. Note: this report has no Columns picker — the column set is fixed.

Exporting payment reports

Each report has an Export button that produces an Excel file. The export respects whatever filters and columns you currently have selected. For large datasets the file is queued and emailed to you rather than downloaded immediately — see Finding and using reports for details.
