Tagging is essential for effective searching in your candidate database - how to do it.

In complete Teamio, you have the option to use tags for individual candidates. Tags serve to create a structured overview from all the information about the candidate that you gather from their CV or interviews. With them, you can easily search in your database.

It’s also important to set a goal. What do you want the tagging to provide in future recruitment campaigns? Would you like to search for people based on the position they would suit, or by individual skills?

How do you do it?

It’s good to insert a one or two-word expression into the tags. For example, abilities, skills, level of language proficiency, certificates, location, whether the candidate is exclusively interested in working on a trade license, if they are a graduate, how many years of experience they have, or what departments they are interested in, or conversely, where they would best fit you, in short, everything that’s important to you and you would like to see at a glance. They can also include ratings like Top candidate or, conversely, Blacklist.

You can create a list of tags in Settings, where you will find the section Tags. You can also create tags directly in the candidate when you want to add a tag.

In Settings, you can not only create tags, but also rename them or delete them. If you rename or delete a tag, it will also affect all candidates to whom these tags have been added. Thus, the renamed tag will change for all candidates where it is used, and deleting a tag means deleting these tags for all of the candidates as well. Tags are shared among all your Teamio users. Not every user creates their own.

TIP: We recommend agreeing with colleagues on what things are important to track and what will help you in decision-making regarding candidates, and to prepare and use this set of tags.


For each candidate, you can then add a tag in Response list or in Candidate card by clicking on the tag icon or the New tag button.

If you wish to add a tag that you do not yet have in the tag list to a candidate, you do not need to go to Settings. You can add a new tag directly in the places outlined above. The tag will be automatically saved to the list and Teamio will offer it to you next time.

A tag is only an internal action for Teamio users. The candidate does not know about the tag. Line managers also do not see tags for candidates and cannot add them to candidates.

What is the difference between a note and a tag?

Tags are usually one word and concise. They immediately capture some characteristic of the candidate. It involves classifying candidates into different categories, by which we can easily find candidates in the candidate database. Tags are the basis for creating your own quality candidate database.

Notes are usually longer in nature. Positive or negative, they can relate to anything, and are additional information about the candidate. They are not categories, and therefore you cannot search in the candidate database based on notes.

Every new candidate, regardless of the source, will appear in your own Teamio database, which you can find under Searching for candidates. Using tags, you can create and build your own talent pool here, where you can easily and quickly find suitable and quality candidates.

Tags can serve as elements for individual candidates. You can assign as many tags to a candidate as you want, keeping the doors open for this candidate on various fronts.

Real examples of tag use in Teamio

Company No. 1:

Who do we tag? All promising candidates that we can imagine in any of our positions, even though we currently have no vacancies.

These people apply to us, for example, through our career pages. They like our company, but we currently do not have suitable job openings for them. If this candidate is interesting, we tag them with the tag mentioning which position(s) they would suit.

This also includes recommended promising candidates. We always look for candidates in our database first and only then do we use other sources.

We tag with the name of the position along with seniority, employment type, and workplace location, if relevant. For example, "PHP specialist Brno" or "UX designer part-time". A candidate may fit multiple positions, so it is possible to assign multiple tags.

We do not highlight individual skills with tags; they are in the candidates' CVs, and by marking only those we can imagine in our company for some of our positions, there is an assumption of exceptional skills. For comparing promising candidates, we then look into CVs.

We currently have 92 tags.

Company No. 2:

Who do we tag? All candidates who stand out in some way. This includes all candidates from any source, even from recruitment campaigns where we did not select them, but they are still interesting for us in the future.

We use tags for the names of positions that these candidates could suit, for skills (such as languages or programming languages, etc.), for workplace location, and for employment type. For example, "Salesperson", "Language-EN", "Prague", "Temporary".

It may happen that candidates have several tags, which is fine because Teamio can search for combinations of tags, and therefore we can quickly find the truly relevant candidates we’re looking for.

We currently have 210 tags.


TIP: Keep the tags up to date. It’s good to delete outdated tags that are no longer relevant in Teamio Settings.
