Teamio stores both sent messages from Teamio and the candidate's responses to these messages. You will receive responses from candidates to your contact e-mail address as well. You can find the communication record neatly in one place in the tab History, which you can find in Response detail, or in the Candidate card.
How does it work?
When you write to candidates from Teamio, the message is sent from an e-mail address in the format firstname.lastname.companyname.conversationid@teamio.eu. The conversation ID is unique and changes for each new message you create. This allows us to link and save messages from you and the candidate in Candidate history.
If the candidate replies to the message from Teamio, the e-mail will come from an address in the format firstname.lastname.conversationid@teamio.eu. The response will arrive in both your contact e-mail inbox and Teamio, and we will display it in the tab History in the Candidate card.
Message statuses
Along with the records of sent messages, their status will also be displayed. This means that you always have an overview of whether your message has been successfully received by the candidate and also whether they have read it.
Statuses are also displayed in the tab History in the Candidate card for specific activities, and also in the Response summary of the last recorded contact (if it was an e-mail).
At this moment, the status of the sent message does not update automatically, so it is necessary to refresh the page (F5) or leave and return to it to see the latest status immediately after sending the message.
In Teamio, we display these statuses:
The message has been successfully sent from Teamio.
The message has been successfully delivered to the candidate's e-mail inbox. For technical reasons, it is not possible to distinguish whether the message was delivered to spam or not, so if the inbox marks it as spam, it will still show the status Delivered in Teamio.
The message has been read by the recipient. This status will only be obtained by the message if the recipient views all content. So if the user has, for example, image blocking set in their inbox and the message contains images, we will display the status Delivered even though they only opened the message.
The message has not been successfully delivered to the recipient. There can be several reasons for this, such as an incorrect – non-existent e-mail address, or a full e-mail inbox.
The message has not yet been sent and is waiting in the queue to be sent. Teamio processes messages as quickly as possible, but in cases of extreme load, it may take a while for the message to be sent.
