If you use event registration, invitation lists can be created to invite specific players from your Master Roster to register for events. These events may be strictly limited to invited players or may be limited to invited players up to a certain deadline, after which registration opens to other eligible players.
In this article, we will discuss how to set up and manage invitation lists. We will also review the invitee registration process.
Adding Players to an Invitation List:
To add players to an invitation list, go to Event > Invitation Lists (as shown below).
You can add players from your master roster by:
Quick Search in Master Roster: Search the player, select the player, and click "Add Golfer" (as shown below).
Select from Master Roster: Click "Select from Master Roster". Select the players and click "Import" (as shown below).
Select based on Season Points: If season points are used to determine the invitation list (e.g., Top 50 players in the standings make the invitation list), you can use this option. Select the season and point category. The players will be ordered by rank. You can select the players or use the the two available filtering options: Include top X players with ties or Include players with at least X points. After applying the filter, click "Go" and the players who meet the filtering criteria will be selected. Once the desired players are selected, click 'Import".
In the example below, we are creating an invitation list that includes the top 75 players (and ties) from the 2021 Overall Standings.
If you are setting up a team-based event using invitation lists, all players on an invited team must be on the invitation list.
You can also remove a player from the invitation list by clicking the action dropdown, and clicking "Remove". Keep in mind that if they are already registered to the event, they will not be removed from the roster.
Sending Invitation Emails:
You can send an optional invitation email to some or all players on the invitation list. To do this:
Go to Event > Invitation List.
Select the players.
Select "Send Invitations" in the dropdown menu.
Click "Go".
The players will then receive an invitation email (as shown below).
The message in the email will also include a registration link that will take the player directly to the registration page. The link includes information that identifies the invited player (they will not need to log in or validate themselves).
If you would like to customize the invitation email, go to Golfers > Email Configuration > Event Registration. You can then edit the email template (as shown below).
Filtering Invitation List:
You can easily filter the invitation list to see players who have not already registered for the event. This is extremely useful when you want to send a second event registration invitation to those who have not registered. To filter players, click the "Include" drop down and select "Not yet registered" (as shown below).
Downloading Invitation List:
You can download the invitation list to a spreadsheet, you can do this from the Invitation List page by clicking "Download Invitation List" (as shown below).
The downloaded spreadsheet will contain the fields currently selected to be displayed in the invitation list header. If you wish to include other fields, use the "Field" drop-down and select the additional fields you wish to download.
Opening and Closing Registration:
You may want to open registration for the invitation list first and later open registration for the rest of your players. Or you may want to restrict registration to invited players only.
To set up either of these approaches, go to Event > Registration Center > Registration Dates tab. Enter the registration period for the invitation list as well as the registration period for the rest of your players (if applicable).
You can also manually open and close event registration under the Event Menu (as shown below).

Player Registration Process:
Players on an invitation list can register by clicking "Register Now" on the email invitation. They will be directed to the registration page.
They can also register for the event through a directory (as shown below). When clicking "Register Now", they will be directed to the registration form (as shown above).
Uninvited players will see a pop-up message explaining that they are not on the invitation list (as shown below).
