Membership Program Renewals

Membership Programs typically have a subscription period that expires after a defined amount of time. Once the subscription for a player expires, they will need to renew in order to continue to receive the benefits of the Membership Program.

In this article, we will discuss how to set up and manage renewals for your membership programs.

Setting up Renewals:

To set up renewals for a membership program, go to the Customer Center > Directories & Registration > Membership Programs. If the membership program is already created, edit the program to access available options. Otherwise, create a new program.

In the setup, you can select the option to offer renewals (as shown below).

After selecting the renewal option, you will be presented with the following:

Renewal Fee: By default, the fee will be the initial program fee. However, you can change it to another fee (often a discounted fee) if you'd like.

  • Renew membership automatically: You can offer your players the option to have their membership automatically renewed when their subscription expires. Their credit card will automatically be charged. Players can opt out of this option at any time.

  • Allow managers to edit renewal date for members: You can give yourself (and other managers) the ability to change the renewal date for specific members.

  • Renewal Schedule: You can set the subscription period using two methods:

    • Renew every: Enter the number of years/months the subscription period will last after player registration. For instance, if subscription period is one year, and a player registers (or renews) for the program on April 15th, 2018, their subscription will expire on April 15th, 2019. In other words, subscription expiration dates vary for every player depending on their registration dates.

    • Renew on fixed dates: Set the date that the subscription period will expire for all players in the program regardless of their registration date.

After selecting the renewal options (and completing the membership program setup), players will then have the option to renew their membership program.

Player Renewal Process:

When a player adds a membership program to their cart on the Membership Programs Portal Page, subscription periods and renewal fees will be listed. If permitted, the option to opt in or out of automatic renewals will also be available (as shown below).

After a player registers for a membership program, they can navigate back to the Membership Programs Portal Page to view their subscription period, renew their subscription, and enable/disable auto-renewals (as shown below).

Once a subscription expiration date approaches, players will receive automated reminder emails. These emails are sent 60, 30, 15 and 1 day(s) before the expiration date. The emails will include:

  • A link to renew the program

  • A link to enable/disable auto renewals (if permitted)

Enforcing Eligibility Criteria for Renewals:

When a membership program is used as Eligibility Criteria for event registration, players cannot register for events which are being played after the subscription expires. When attempting to register in such case, they will receive a popup message indicating why they cannot register (as shown below).

Managing Membership Program Renewals:

During membership program periods, you can monitor subscriptions by going to Customer Center > Directories & Registration > Membership Programs. In the "Actions" dropdown, select to view the list of active members, members with expired subscriptions, or all members (as shown below).

After selecting a list, you will be directed to the filtered Master Roster listing the appropriate players. To change the listing, select the "Include" dropdown to re-filter the players (as shown below).


You can also click on individual players to view their membership program information, change the renewal date (if permitted), unsubscribe the member, or disable/enable auto renewal (as shown below).
