What are the ROI request statuses?
There are 6 statuses:
Status | What it means | How it’s set |
Requested | A new request. No documents have been collected yet. | Automatically, when the request is created |
In Progress | At least one collected document has been added. | Automatically, when the first document is uploaded or printed in |
Compiled | The collected documents have been combined into one document. | Automatically, when you select Compile |
Delivered | The records have been sent to the requestor. | Manually, by you |
Declined | You won’t be returning records for this request. | Manually, by you (a reason is required) |
Cancelled | The requestor no longer needs the records. | Manually, by you (a reason is required) |
How does a request move through the statuses?
Every new request starts in Requested.
When you add the first collected document, by uploading it or printing it in, the status changes to In Progress automatically.
Keep uploading or printing in documents until you have everything you need.
Select Compile to combine all collected documents into one document. The status changes to Compiled automatically.
Download the combined document as a single PDF, or send it as a fax.
When you’re sure the records have been delivered, select Update Status and choose Delivered.
Note: Updox never sets a request to Delivered for you. We can’t know when the requestor has received the records, so you decide when to mark it Delivered.
What’s the difference between Compile and Recompile?
If a request was already compiled and you then add or change its collected documents, the Compile button becomes Recompile. Select Recompile to create an updated combined document.
How do I decline or cancel a request?
Use this status | When |
Declined | You can’t or won’t fulfill the request and aren’t returning records |
Cancelled | The requestor tells you they no longer need the records, for any reason |
To decline or cancel a request:
Open the request.
Select Update Status.
Choose Declined or Cancelled.
Enter a reason when asked.
Which status changes can I make?
The Update Status dropdown only shows the changes allowed for the request’s current status.
Current status | You can change it to |
Requested | Declined or Cancelled |
In Progress | Declined or Cancelled |
Compiled | In Progress, Delivered, Declined, or Cancelled |
Delivered | In Progress |
Declined | Requested or In Progress (depending on whether the request has collected documents) |
Cancelled | Requested or In Progress (depending on whether the request has collected documents) |
Example: You can’t mark a request Delivered while it’s still Requested, because there are no compiled documents to deliver yet.
Why can’t I reorder or delete collected documents?
You can only reorder or delete collected documents when the request is In Progress. This keeps the documents from changing after they’ve been compiled or delivered.
For example, if a document were deleted from a Delivered request, it would look like the records were delivered without it.
Need to fix a compiled or delivered request?
For example, you might find a document for the wrong patient after the request was compiled. To fix it:
Select Update Status and change the status to In Progress.
Reorder or delete the collected documents as needed.
Select Recompile to create an updated combined document.
Why can’t I find a request when I print to ROI?
To keep the list short, the printer only shows requests that are:
On the Active tab (not archived), and
In Requested or In Progress status
If a request isn’t showing:
If it’s archived, open it and select Unarchive.
If it’s Compiled or another status, select Update Status and change it to In Progress.
Then print to it again.
How do I archive or unarchive a request?
Archive moves a request from the Active tab to the Archive tab. This keeps your Active tab focused on work that still needs to be done. You can archive a request at any time.
Unarchive moves a request back to the Active tab when you need to work on it again.
The request details page always shows either an Archive or an Unarchive button, depending on where the request is.
