Can I customise the follow-up email sent to contacts?
Yes. With the Plus plan, go to your dashboard and click Flows to create and customise the automated email that is sent when someone saves your contact details.
What are Flows?
Flows are automated email sequences that send when someone interacts with your profile. For example, when a new contact fills in your contact capture form, you can automatically send them a personalised welcome email.
How to set up a follow-up email
Log in at app.v1ce.co
Click Flows in the left menu
Click Create Flow or edit an existing one
Choose the trigger (for example, "New contact captured")
Design your email:
• Subject line • Body text • Your contact details • Links (website, booking page, etc.) • Your branding
Set the timing (send immediately, or after a delay)
Save and activate

• Subject line: Write your own subject • Email body: Full control over the text and formatting • Links and CTAs: Add links to your website, booking page, or portfolio • Branding: Add your logo and brand colours • Timing: Send immediately or after a set delay (for example, 1 hour after meeting) • Multiple emails: Create a sequence of follow-up emails over several days
Tips for effective follow-up emails
• Send the first email within an hour of meeting — speed builds trust • Keep it short and personal • Include a clear next step (book a call, visit your website, etc.) • Reference where you met them if possible
My follow-up email is not sending
• Make sure the Flow is activated (not in draft mode) • Check that your contact capture form is enabled • Verify the trigger is set correctly • Test by submitting your own contact capture form from a different device
Can Teams share the same follow-up email?
Yes. Team admins can create Flows that apply across the team, ensuring consistent follow-up for every team member's contacts.
