Vendor Management is a bolt-on feature you can add to your current Vantage plan anytime.

General overview

Vantage helps you work with external vendors just as easily as with your in-house team. Instead of switching between spreadsheets, emails, messengers and ten other tools, everything is now in one place — onboarding crews, assigning work, tracking progress, and collecting invoices.

Your vendor companies can also add their own users and subcontractors at no cost.

Vendor onboarding

Whether you work with solo freelancers or full-service subcontractors with multiple crews, you can invite external teams into Vantage with just a few clicks.

Each vendor gets its own dedicated Vantage workspace. It’s linked to yours but remains separate.

Vendor profiles

You can create vendor profiles in Vantage for the companies you work with. This keeps all important info in one place, so you can quickly check their location, the type of work you use them for, and if their documents like contracts or insurance are up to date.

You can also add internal notes in the vendor bio, such as crew size, equipment, or certifications.

If you stop collaborating with a vendor, you can deactivate their account at any time.

Work allocation

In Vantage, you can see both internal and external team schedules side by side on the Team Schedule calendar, so it’s easy to know who’s booked, who’s available, and who you can allocate upcoming jobs to.

While you have visibility into the full team schedule, vendors only see the jobs assigned to them and never client details or other vendors’ activity.

Document acknowledgement

You can upload any job-related documents in Vantage—specs, RAMs, checklists, and more—and your vendors can access them anytime.

To make sure nothing gets missed, you can mark key documents as Need acknowledgement and select the vendors who need to review them. Vantage shows you exactly who has read each document and when.

Quality check

As part of the job wrap-up, you can have the vendor Project Manager complete a quality check on their crew’s work. This simple step confirms they’ve reviewed the installation and stands behind the results, right alongside your own review.

Related events

When events in Vantage share the same location, client, or project, they are automatically linked and marked as Related.

You can quickly move between related events to check progress, review comments, and access any other relevant details without searching around.

Billing clarity

With Vantage, vendors receive timely, accurate payments, and you get clarity on the profitability of each job, campaign, and vendor relationship.

Vendors can create invoices linked to the exact jobs they’ve completed and submit them for review. They can also log extra expenses and attach receipts to the invoice, giving your team full visibility into the true cost of the job.
