Learn how to attach, manage, and delete your files and visuals.

Overview

You can store work-related files, such as documents and visuals, in Vantage so everything your team needs is easy to find and always up to date.

You can attach documents to:

  • Opportunities

  • Projects

  • Events

  • Assets

  • Clients

  • Invoices

This keeps files directly connected to the work they belong to, rather than scattered across emails or personal folders.

All uploaded files are also available in Media, a centralized library for your entire workspace.


Attach documents

To attach the document to the event, project, client, etc, open the relevant drawer and go to the Docs tab.

From here, you can upload documents in two ways:

  • Drag and drop files/folders directly into the Docs tab.

  • Click +Add to upload a file/folder from your computer, or create a new folder.

Both options let you upload multiple files/folders at once to save time.

Related folders

Vantage automatically pulls documents from the related client, project, and asset into the event.

In the event drawer, the Docs tab includes three default folders:

  • Related asset files

  • Related project files

  • Related client files

This helps you quickly navigate and find the right files for the job you’re working on.


Manage documents

You can view uploaded files in a list or grid view, depending on your preference.

Control document visibility

You can adjust who can view uploaded documents, so the right people have access to the files and visuals they need.

By default, documents you upload are visible to all users. You can change the default visibility for uploaded documents in your Workspace settings.

To change document visibility:

  1. Go to the Docs tab.

  2. Click the info icon next to the document.

  3. In Visibility, select which users should have access to the document.

Changes are saved automatically.

All documents remain visible to Full users, regardless of visibility settings.

Comment on documents

You can leave comments on documents to add details, ask questions, or reply to teammates. This helps your team communicate directly on specific files.

To comment on a document:

  1. Go to the Docs tab.

  2. Click the info icon next to the document.

  3. Click the comment icon and add your comment.

You can also add comments to a document from the file preview screen.

All users who have access to the document will receive a notification when a

comment is added.

Move documents

You can move documents to another folder or section to keep files organized:

  1. Go to the Docs tab.

  2. Click the three dots icon next to the document.

  3. Select the folder or section you want to move the document to.

Rename documents

You can rename documents to make them easier to identify:

  1. Go to the Docs tab.

  2. Click the info icon next to the document.

  3. Click the document title and enter a new name.

Changes are saved automatically.

Download documents

You can download documents individually or in bulk.

To download a single document:

  1. Go to the Docs tab.

  2. Click the three dots icon next to the document.

  3. Click Download.

To download multiple documents:

  1. Go to the Docs tab.

  2. Select the documents you want to download, or use the checkbox at the top to select all.

  3. Click Download.

Your files will be packaged into a ZIP file and available to download from the Notification Center.

Document acknowledgement

You can mark files as Need acknowledgement to make sure your team reviews them before the job starts. This helps ensure that important information is seen and confirmed before the event.

Delete documents

If you uploaded the wrong file, you can delete documents one by one or in bulk.

To delete a single document:

  1. Go to the Docs tab.

  2. Click the three dots icon next to the document.

  3. Click Delete, then confirm the action.

To delete multiple documents:

  1. Go to the Docs tab.

  2. Select the documents you want to delete, or use the checkbox at the top to select all.

  3. Click Delete, then confirm the action.
