How to create an event

Vizibl Events brings people together, drive alignment, and improve visibility for key stakeholders.

Access your events wherever, whenever, you need them. Having all context, communications, and documents in one place allows you to effectively prepare for and hold events. This enables the team to capture the next steps - driving both alignment and visibility.

Create an event

Schedule calls or web conferences, organize workshops, plan governance meetings or schedule quarterly business reviews right from Vizibl.

To create a new event either click "Add Event" from the homepage or navigate to the events tab of the relationship you want to create the event in and click "Add Event" from here.

You can then specify all details of the event in the next screen:

  • Link the event to the required relationship

  • Select an event name that should be brief and informative. Team members or stakeholders involved in the project should easily get what the project is about when they receive a notification or view it in a list.

  • Choose a location (e.g Meeting room A)

  • Set up a start and end date. The event time will be shown accordingly in the attendees’ calendars (e.g., Outlook, Gmail).
    Please note that by default, the dates are set to your time zone, attendees’ calendars will show the event in their own specific timezone.

  • Select the required attendees from your company or the other company.

  • Add up to 3 tags to the project, perfect for filtering your events later. Available tags are determined by the relationship the project relates to. Each company has its own set of best practice tags which are merged into a joint list when you choose tags for your project.

  1. Add any attachment needed for the event (For example supporting documents or slides)

  2. Adjust the privacy according to your needs (visible for the whole relationship or restricted to attendees.)

Once done, you can preview your event, add the agenda, and add the minutes by clicking "Preview". Once you're satisfied click "Publish" and email invites and in-app notifications will be sent out to all attendees.

If you choose not to immediately publish an event you can always come back to it at a later stage. Your unpublished events are automatically saved as drafts and you can easily find all your draft events by filtering for them in the main events list.

Duplicate an event

To copy an already created event, navigate to the event settings and click on Duplicate Event. This will create a new draft event with all the details copied over from the source event. Simply update the fields as you see fit, hit Save, and you new event will be created.

Collaborate with discussions

You can discuss anything related to an event directly on the event page with the other attendees and stakeholders, without ever having to send a single email.

If you have any questions or need to inform the team about important updates then this is the place to go. Simply type your update in the comment field and press "Post message". This will trigger a notification to be generated and sent to all event attendees to make sure your voice is heard.

Collaborate with attachments

We're a collaborative platform, but there are of course files containing sensitive information that you might only want your side of the relationship to have access to. Not to worry, you can still keep all the relevant files in one place! In the attachment section you can choose to upload files visible to both, or only to your, side of the relationship. Simply select if you wish to upload a private or shared file and get started.

File Upload Limits & Supported File Types

Vizibl has a file upload limit of 50MB.

Currently, the following extensions are allowed for uploads: 'JPG', 'JPEG', 'GIF', 'PNG', 'TXT', 'PDF', 'RTF', 'DOC', 'XLS', 'PPS', 'PPT', 'DOCX', 'XLSX', 'PPTX', 'ODT', 'ODG', 'MOV', 'AVI', 'MP4', 'MKV', 'MP3', 'KEY'

Please note: Vizibl's File Management system is designed to host easily shareable and -digestible content, so certain files such as streaming media and >50MB files are better suited for dedicated servers that are set up to handle the bandwidth downloading those files would require.
