Conditions and Delays in a Campaign

A campaign allows for a series of actions to be carried out on a list of prospects.

Once the campaign is launched, each action is queued and executed from Waalaxy on LinkedIn. In cases where a campaign consists of multiple consecutive actions, it must validate a condition and a delay between each action.

What is a condition?

To ensure that prospects meet the necessary conditions for the execution of a given step or simply to condition their progress in the campaign, there are different "condition" steps.

Example

In a campaign that includes an invitation followed by a message, the prospect must meet the following condition to proceed to the next step: the prospect must accept the connection request.

For campaigns that includes messages, the prospect must validate the condition "Hasn’t replied" to the initial follow-up message to go to the next step.

All conditions are written in pink in the structure of your campaigns.

How do you see that a prospect is waiting for a condition?

In your campaign, within the "Prospects" sub-tab, prospects will appear at their current step.

For example, a prospect who has received an invitation will be shown at the "Invitation sent" step.

They will then be at the "Waiting for condition" step: we await the prospect's acceptance of the invitation before proceeding to the next step.

Example

Here, 22 prospects have received your invitation successfully, but they are waiting for a condition. They have a 15-day delay to accept or decline your invitation before moving to the next step: finished the campaign.

You can see this by hovering your mouse over the condition 👇😊

What is a Delay?

A delay involves waiting for a specified duration, either between two actions, or before validating a condition.

It can be represented as its own step called "Delay" or linked with another condition, such as "Pending && Delay 5 days".

  • In the first case, the prospect progresses to the next step once the delay has elapsed.

  • In the second case, the prospect proceeds to the next step only IF the condition is valid after the delay has passed.

⚠️ You cannot edit a delay on a current campaign.

💡 Good to know

You can set the delay from 0 to 28 days.

How do we know that a prospect is in the delay step?

In your campaign, within the "Prospects" sub-tab, you will find the prospect at the "Delay" step.

Once the delay set when the campaign was created has passed, the prospect automatically moves on to the next action.

From the “Prospects” section, use the “Current step” filter and select “Delay” to see which prospects are at his step. ⬇️

What happens if a Prospect Replies?

If you get a reply from a prospect in response to any of your notes, messages, or emails, they will be removed from this campaign and no longer receive any more messages as part of this sequence.

  • They will be marked with "Has replied" status, so you can filter them in the campaign.

  • From the “Prospects” section, use the “State” filter and select “Has replied”. ⬇️

When do my prospects get to the "Finished" step?

What are the different states of a campaign?

A campaign comprises several components: "steps" (actions) and "states" (what happens).

There are 5 states in a Waalaxy campaign:

  1. In Progress: The campaign has been launched and is currently active.

  2. Paused: The campaign was active but has been paused. It can be found in the "Campaign" section under "Paused". All actions are paused.

  3. Replied: Concerns all prospects who have responded to a connection note, a message, or an email in the campaign. As soon as they respond, they automatically exit the campaign. Once they reply, they automatically exit the campaign.

  4. Blocked: This state occurs when you have launched a campaign during your Business trial period, which has since expired, and you no longer have the appropriate subscription.

  5. Finished: The prospect has reached the end of the campaign, they have received all the actions they were supposed to receive and have exited it

What does "Finished" exactly mean?

If you have prospects at the "Finished" step in your campaign, it doesn’t necessarily mean that they have received ALL the actions of the campaign.

This indicates that, based on the conditions and delays set by the campaign, they have received everything they were supposed to receive according to their case.

Example

In an “Invitation + 2 Messages” campaign:

  • The prospect has accepted your invitation but did not reply.

  • He proceeds to the next step: receiving the first follow-up message.

  • If he replies to the first follow-up message, he exits the campaign, and he will not receive the second follow-up message.

In which cases does the prospect exit in the "Finished" state?

The prospects exit a campaign in the "Finished" state if:

  • They didn’t reply to the pending invitation within the time allotted by the campaign. (The planned message can’t be sent as a result).

  • They replied to a connection note, message, or email (the next actions are not sent if a prospect replied)

  • During a sequence with an "Email finder" action, the enrichment didn’t find the email (the prospect exits as "Email not found").

Where can I see it in Waalaxy?

From the “Prospects” section, use the “State” filter and select “Finished

In the example below, prospects have exited the campaign because they haven't replied to the message.
