Conditions and Delays in a Campaign
A campaign allows for a series of actions to be carried out on a list of prospects.
Once the campaign is launched, each action is queued and executed from Waalaxy on LinkedIn. In cases where a campaign consists of multiple consecutive actions, it must validate a condition and a delay between each action.
What is a condition?
A "condition" refers to a criterion or set of criteria that determines whether a prospect can enter, progress through, or exit a campaign.
Types of Conditions
Entry Conditions for the Campaign: These criteria specify what prospects must meet to be added to the campaign.
☝️ Example
A prospect must have the status "not connected" to enter your invitation campaign.
Progression Conditions within the Campaign: Once prospects are in the campaign, these conditions regulate their movement from one step to another or their exit from the campaign.
☝️ Example
In an "Invitation + Message" campaign, after receiving your invitation, the prospect has 15 days to accept it before moving to the next step (Message). So, we are waiting for condition to send the next action.
The condition to receive your message is accepting your invitation.
If the prospect does not accept your invitation within this timeframe, they will automatically exit the campaign.
⚠️ A prospect who is "not connected" can't receive a message from Waalaxy.
In campaigns using complex sequences like "Elysium 2.0", all conditions are in pink within the campaign structure. You can view these conditions by following these steps:
Navigate to Browse sequence > Preview.
From your campaign, by clicking under "Sequence used".
How do you see that a prospect is waiting for a condition?
In a simple invitation campaign, you can follow prospects and their current status in the "Prospects" sub-tab:
After your prospect receives the invitation, it will be shown at the "Invitation sent" step.
He will then be "waiting for condition". It means indicating we await the prospect's acceptance of the invitation (the condition) before sending him the next action.
☝ Example
Here, 96 prospects have received your invitation successfully, but they are waiting for a condition. They have a 30-day delay to accept or decline your invitation before moving to the next step: finished the campaign.
You can see this by hovering your mouse over the condition 👇😊
What is a Delay?
A delay involves waiting for a specified duration, either between two actions, or before validating a condition. It can be represented as a distinct step called "Delay" or combined with another condition, such as "X days Pending && Delay".
The Delay step
In the first case, after completing the "Profile visit" step, the prospect progresses to the "Delay step". Once the specified delay period has passed, he proceeds to the "Invitation" step.
Delay Linked with Another Condition:
The delay can be linked with another condition. For example, the prospect progresses to the "Email Finder" step only if he hasn't accepted your invitation after the "5 days - Delay" condition (it means that the invitation is in pending).
⚠️ You can't edit a delay for a campaign in progress or paused.
💡 Good to know
You can set the delay from 0 to 28 days.
How do we know that a prospect is in the delay step?
In your campaign, within the "Prospects" sub-tab, you will find the prospect at the "Delay" step.
Once the delay set has passed, the prospect automatically moves on to the next action.
From the “Prospects” section, use the “Delay” filter by clicking on it to see which prospects are at this step. ⬇️
What happens if a prospect replies?
If you get a reply from a prospect in response to any of your notes, messages, or emails, they will be removed from this campaign and no longer receive any more messages as part of this sequence.
He will be marked with "Has replied" status, so you can filter them in the campaign.
From the “Prospects” section, use the “State” filter and select “Has replied”. ⬇️
When do my prospects get to the "Finished" step?
What are the different states in a campaign?
A campaign includes several components: "steps" (actions) and "states" (what happens).
There are 6 states in a Waalaxy campaign:
On going: The campaign has been launched and is currently active.
Paused: The campaign was active but has been paused. It can be found in the "Campaign" section under "Paused". All actions are paused.
Has replied: Concerns all prospects who have responded to a connection note, a message, or an email in the campaign.
Frozen: In a campaign, there can only be 5000 active prospects at a time. If you have added more than 5000, the extra prospects will be gradually integrated into the campaign as space becomes available. In the meantime, their status will be Frozen.
Postponed: Some prospects in your campaign have been postponed. This means that the next invitation action can't be sent until next week, because your weekly Invitation quota has been reached on LinkedIn (200 per week). You can find those prospects by activating the State: Postponed filter in the campaign.
Finished: The prospect has reached the end of the campaign, he has received all the actions he was supposed to receive and have exited it.
What does "Finished" exactly mean?
If you have prospects at the "Finished" step in your campaign, it doesn’t necessarily mean that they have received ALL the actions of the campaign.
This indicates that, based on the conditions and delays set by the campaign, they have received everything they were supposed to receive according to their case.
☝ Example
In an “Invitation + 2 Messages” campaign:
The prospect has accepted your invitation but did not reply.
He proceeds to the next step: receiving the first follow-up message.
If he replies to the first follow-up message, he exits the campaign, and he will not receive the second follow-up message.
In which cases does the prospect exit in the "Finished" state?
The prospects exit a campaign in the "Finished" state under the following conditions:
No Reply to Pending Invitation:
If prospects didn't reply to the invitation within the campaign timeframe, any planned messages can't be sent.
Reply to Connection Note, Message, or Email:
If prospects reply to a connection note, message, or email during the campaign, they will exit the campaign and will not receive any subsequent actions.
Email Not Found During Enrichment: In sequences with an "Email Finder" action, if the enrichment process fails to find the prospect's email, they exit the campaign marked as "Email not found".
Where can I see it in Waalaxy?
From the “Prospects” section, select “Finished”.
In the example below, prospects have exited the campaign because they accepted and/or responded to the invitation
