How do I create a meeting agenda as a manager?

Follow these steps to create a single 1:1 meeting agenda.

You can use WeThrive conversation templates to automatically pull talking points and relevant results & goals into the agendas. You can then further customise each agenda.

Can employees set up a meeting agenda with their manager?

Employees can request a meeting with their manager if they have an employee login to WeThrive.

Within their account, they can select their manager, propose a date & time and select a conversation type. A notification will be sent to the manager with a link to accept or decline the meeting. An agenda will be created automatically that both the employee and manager can add to.

What are 1:1 conversation templates?

When setting up 1:1s, you can use one of the WeThrive's conversation types to automatically pull in relevant data to the agenda for each employee based on the type of discussion you want to have.

For example, if you are completing a performance appraisal, you can select this template, which will pull in certain results from recent performance review surveys each employee has taken part in, plus certain engagement survey results that are relevant, peer feedback given and OKRs the employee owns. The results that are added for each employee automatically are dependent on which data points are available.

Can I still edit an agenda if I use a conversation template?

Yes, once you've selected a conversation type, an agenda will automatically be created. However, you'll be able to edit the agendas further - whether you're just creating one agenda or multiple agendas at once.

You can remove any talking points that have been added, remove any results, goals or feedback you don't wish to include, add additional items from the side panel, plus add specific notes and comments.

What visibility do employees WITHOUT logins have of the 1:1 agenda?

Employees who do not have logins to WeThrive can be sent invites for 1:1s in order to add to their calendar. They cannot edit the agenda, but they can be sent a PDF agenda summary ahead of the 1:1. They will also receive a copy of the agenda when the 1:1 is saved as 'read only'.

What notification does the employee receive when a 1:1 is scheduled?

When a manager clicks 'Save and send invite' at the bottom of the agenda, an email notification is sent to the employee with an attachment they can download to add the meeting to their calendar. The manager is also cc'd into the email so that if the employee needs to re-schedule, they can respond directly to the manager.

If you set up multiple 1:1 agendas at once, the employee will receive a notification when first set up to let them know it has been created, and once a date/time has been set for their meeting, they will receive a second notification with a calendar attachment.

Can I send a copy of the agenda before the 1:1 happens?

Yes, simply click the 'Send PDF agenda' button on the 1:1 Meetings page against a certain agenda (steps here), or within the agenda click the button at the bottom of the page to send a copy to both the employee and manager. You can send multiple agendas at once from the 1:1 Meetings page (steps here).

Can the employee access the meeting agenda?

Employees must have a login to WeThrive to access the agenda online. You can still send a PDF agenda summary to an employee who does not have a login, either before your 1:1 or when the 1:1 is saved.

Can managers see individual results within 1:1s for anonymous engagement surveys?

No, managers cannot see individual engagement results within 1:1 agendas if a survey was anonymous. They can only see the average scores for their team. The only exceptions are:

  • If the employee adds their own score to the agenda for discussion.

  • If the survey was run non-anonymously.

In these cases, the manager is then able to view the individual score.

What does it mean if feedback in the 'Feedback' section of the 1:1 agenda has a padlock sign against it?

This means that the feedback is not visible to the employee in their version of the 1:1 agenda. They cannot see locked pieces of feedback.

As a manager, what should I do once I've completed the meeting?

Add all relevant notes to the agenda, complete the hidden manager section by adding confidential comments and talent snapshot categories (not visible to the employee). Then, save your agenda as 'read only'. This saves the agenda in a locked format that can no longer be edited.

What happens when a 1:1 agenda is saved as 'read only?

The 1:1 agenda will be saved in a locked format and can no longer be edited. An email notification will be sent to both the manager and employee with a version of the agenda in PDF format for download. The employee version of the PDF will not include the hidden manager section as this remains confidential to the manager.

Can I send myself a copy of an agenda from a previous meeting?

Yes - on your 1:1 Meetings page, click the 'Send PDF agenda' icon against an individual meeting in the table. Or, to send multiple meeting agendas, tick the boxes next to each agenda you want to send copies of. A copy will be sent to both the manager who completed the 1:1 and the employee.
