Managing Attachments in Whippy

Learn how to view, search, filter, and export attachments across your Whippy Inbox or within specific conversations.

Whippy supports attachments in both individual messages and automated workflows (such as campaigns or sequences). You can send, receive, and manage these attachments directly within conversations or from the centralized Attachments tab.

Why it matters

Attachments are an essential part of communication. Whippy makes it easy to access, organize, and manage all files shared across your conversations — helping your team quickly reference documents, images, and other media without searching through message history.

Key Concepts

Attachments Tab: The central location where you can view every file sent or received across all conversations.

Files Tab: The section within an individual conversation where you can view attachments specific to that thread.

Export: The function for downloading attachments in bulk from the dashboard.

Extended View: A larger, detailed preview of an attachment that allows you to zoom, print, or copy its link.

Step-by-Step: View All Attachments

  1. Go to your Omnichannel Inbox.

    Click this link to open it directly.

  2. In the sub-navigation bar on the left, click Attachments.

    This opens a consolidated view of all attachments shared across your organization.

  3. Use the Date Picker to filter results.

    • Select a date range to view attachments received or sent within that period.

  4. (Optional) Filter by Channel.

    • Use the dropdown menu to select the communication channel (e.g., SMS, Email, Voice AI).

    • By default, all channels are selected.

Exporting All Attachments

  1. From the Attachments page, click the Export (download) icon at the top of the screen (next to the date picker).

  2. A CSV file will download containing the following fields:

    • Name

    • Phone

    • Email

    • Attachment URL (a link to view the file)

    • Content Type

    • Conversation

    • Inserted At (date of upload or receipt)

Managing Individual Attachments

From the Attachments dashboard, you can:

  • Download an individual file (click the download icon next to the entry).

  • Copy Link: Click the share button to copy a link to the attachment (a green confirmation banner appears once copied).

  • Open Conversation: Click the conversation link to jump directly to where the attachment was shared.

  • Expand View: Click the attachment to view it in full.

When viewing an attachment in Expanded View, you can:

  • Download the individual file.

  • Print the file using your device’s print dialog.

  • Zoom in/out using the + and buttons.

  • Reset the zoom level using the Reset button.

  • Share Attachment: Click the Share button to copy a link to your clipboard (a green banner confirms success).

Step-by-Step: View Attachments in a Conversation

  1. Go to the Omnichannel Inbox.

  2. Select a conversation that contains attachments.

    Use the search bar or scroll through your list to find it.

  3. Click the Files tab in the conversation view.

    This displays all attachments shared in that conversation.

  4. Choose a file to view or download:

    • Click Download next to the file to save it.

    • Click the file name to open it in Extended View for a larger preview.

  5. (Optional) Print or Copy Link from within the Extended View as needed.

Step-by-Step: Search and Filter Attachments in a Conversation

  1. In the Files tab, click Search Files.

    Start typing the file name — matching results will appear automatically.

  2. To filter attachments by type, click Add Filter.

  3. Configure your filter:

    • Resource: Attachment Content Type (only option).

    • Comparison: Equals.

    • Value: Choose the desired file type:

      • Image (PNG)

      • Image (JPEG)

      • Image (GIF)

      • PDF Document

      • Text File

      • CSV File

      • Video (MP4)

      • Video (MOV)

      • Word Document

  4. Click the ⋯ (three dots) icon beside the filter to manage it:

    • Delete the quick filter, or

    • Convert to Advanced Filter to add multiple filters with AND or OR logic.

  5. In Advanced Filter view, you can combine multiple conditions or add subconditions for detailed filtering.

Attachment Limits and Supported File Types

Whippy supports several common file types for attachments. Carriers impose file size limits to prevent spam or delivery issues. Staying within these limits ensures successful message delivery and compliance with carrier rules.

  • Compress large images before sending to stay within file size limits.

  • Use JPG for higher-quality images and PNG for lightweight visuals.

  • For long or data-heavy documents, host them externally and share a secure link instead.

  • Avoid sending large video files — instead, share a hosted video link (e.g., YouTube, Vimeo).

Tips and Best Practices

  • Use the Attachments tab to manage files across all conversations in one place.

  • Use the Files tab to focus on attachments tied to a specific contact or conversation.

  • Apply date and channel filters to locate attachments quickly.

  • Use Export when you need a CSV record of all files sent or received.

  • Regularly download and archive critical attachments for backup or compliance.

  • Use Copy Link to share attachments securely without forwarding entire message threads.
