Clear communication with your buyers is key, and email templates make it easy to streamline your outreach. On the My Buyers page, you can create personalized templates that can be quickly accessed and customized as needed.

Whether you're crafting a prospecting email or sending quick quotes, creating a template allows you to easily reuse content, making your outreach more efficient. In this article, we’ll walk you through the process of creating new email templates from the My Buyers page to improve your buyer communication.

Before We Get Started

  • Sales Managers will have access to view all email templates associated with each Truck Pro account allowing for comprehensive management and oversight of buyer records across your team.

How to Create a Template

Follow these steps to create a new email template.

Step 1: Go to the My Buyers page

  • After logging in to your Work Truck Solutions site, navigate to the My Buyers page.

Step 2: Click on the Manage Email Templates Button

  • Once on the My Buyers page, locate the Manage Email Templates button in the top right-hand corner of the page.

  • Click this button to open the email templates menu.

Step 3: Click Create New Template

  • To start creating a new template, click on the Create New Template button located in the right corner.

Step 4: Enter a Name for Your Template

  • You’ll be prompted to enter a title for your new template.

Step 5: Set template to Personal or Dealership Shared

  • You will have the option to make the template only accessible for personal use or select to have it shared with other Truck Pros.

Step 6: Choose Whether to Clone an Existing Template

  • Once you’ve entered a title, you’ll see the option to either create a template from scratch or clone an existing template.

    • If you want to create a template from scratch, make sure to uncheck the Clone Selected Template box.

  • If you want to clone the template you were viewing and use parts of it in your new template, check the Clone Selected Template box.

Step 7: Click Create

  • After selecting your preferences, click Create in the bottom right corner of the pop-up window.

Step 8: Enter Your Email Subject Line

  • After clicking create, it will direct you to a new screen where you can enter in additional details such as the subject line of your email in the Subject field. This is the subject that your buyers will see when they receive the email in their inbox.

    • Quick Tips for a Good Subject Line:

      • Keep it short and to the point.

      • Include just enough information to make the buyer want to open the email.

      • If your email promotes something with a deadline, mention it in the subject line.

      • Avoid using all caps or many exclamation points, as these can make your email look like spam.

    • Example Subject Line: “Build Your Perfect Commercial Vehicle Today!” might be used for a prospecting email promoting your EZOrder page.

Step 9: Write the Body of Your Email

  • Once you have entered your desired entry, write the content of your email in the Message field. This will be the body text of the email that your buyer will receive.

Step 10: Insert Personalized Text (optional)

  • Personalized Text allows information from each buyer’s record to be automatically inserted into your template at the time it’s sent. For example, if you write "Hello" and insert the "Buyer First Name" token, each email will be addressed to the specific buyer by name.

    • If a buyer’s record is missing information for a field used in the template, the system will insert generic placeholder text to ensure the message still reads smoothly.

Step 11: Save Your Template

  • When you are satisfied with your subject line and message, click the Save button in the bottom middle of the screen.

  • After saving, your template will appear in your Personal Templates dropdown list, and you will also see the date it was created.
