Tasks – The Core of xTiles
Tasks are the core functionality in xTiles, offering a wide range of features to help you manage your work more efficiently. The main benefit of using tasks is that they keep you organized and boost productivity when managing activities and projects.
With tasks, you can:
Track progress: Have a clear overview of what’s done and what’s still pending.
Stay on schedule: Add due dates and reminders to make sure nothing slips through the cracks.
Collaborate effectively: Assign tasks and share updates with your team
Set priorities: Focus on the most important activities first to get more done.
How to create tasks?
You can create tasks anywhere in xTiles, inside any existing tile. There are several simple ways to add a task within a tile:
Using “+” or “/” commands in filled tiles.
Using a shortcut ()+Enter.
(In My Planner) Selecting task template
Converting existing text blocks to tasks through the block menu.
Where Can You Create Your Tasks
Tasks can be created and managed across various sections of xTiles:
My Planner: My Planner is the central spot for keeping track of all your tasks in xTiles. It pulls every task together from all across xTiles so you always have a clear view of what needs to be done. You can add tasks inside extra tiles, drop them onto a calendar, or keep them organized in the Task Collection to manage your tasks as a datebase.

The Task Panel is a simple sidebar that helps you manage and view all your tasks in one place. You can open it from the top-right corner of your workspace. From here, you can quickly add tasks for today, check what’s coming up, review your inbox and see tasks assigned to others, and look back at everything you’ve already completed.
Creative Pages: Tasks can be initiated directly within tiles on your creative pages.
Tasks can be added to cards within your collections, or through the Tasks Collection that appears in every project once tasks have been created. This helps you keep all your tasks organized and easy to manage.
Add Due Date
It's possible to schedule tasks for specific days when the task should be completed. You can do this:
From the Calendar Icon: Hover over the task block and click the calendar icon on the right to select a date.
From the Block Menu: Open the block menu on the left side (six-dot), click the calendar icon, and then choose a date.
From the Expand Mode: Create the task and open it as a note with the expand feature. In the “Due date” line, select the required date.

All scheduled tasks will automatically show up in My Planner under their assigned days — both in extra tiles and on the Calendar page.
How to set time and reminders
To set a reminder:
Click the calendar icon and go to scheduling settings.
Set time when you want to receive the notification in the "Add time" field.
If you want to get the notification in advance, click “Add a reminder” at the bottom of the menu.
Choose a reminder from the dropdown options (for example, 1 hour before the task)
Recurrent Tasks
Recurrent tasks are tasks that automatically move to future periods once completed. For example, a task set to recur daily will move from Monday to Tuesday in My Planner after you mark it as done.
To set a recurrence for a task:
Open the task and go to scheduling settings by clicking the calendar icon.
Click “No repeat” at the bottom of the menu.
Choose how often you want the task to repeat (daily, weekly, monthly, etc.).
Once set, the task will automatically reappear according to the recurrence schedule, helping you stay on track with repeating tasks.
Assign tasks to others
Let your teammates know what they should complete by assigning tasks for them. For example, you can assign tasks this way:
Hover over the task block and click the assign icon that appears.
Choose a team member you want to assign a task to.
Misclick the window to save the changes.
It's also possible to self-assign a task to mark it as your own.
