Reviewing and editing a booking

A booking is a reservation for a specific space for a set time and date. After you create a booking, you can use the company's booking menu, the member's booking menu, and the Bookings Menu to review and edit the booking. You cannot edit bookings that used Pay Now or Invoice Now for booking or amenity costs or monthly bookings. You can only edit hours/credits or Pay Now past bookings if they occurred on the current day.

Every booking is also an order, and when you edit a booking, Kube updates the order on the Order Reports. You can also use the Booking Reports to see more information about your bookings. For more information, see Order Reports overview and Booking Reports overview.

NOTES:

  • Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

  • You cannot edit the following types of bookings:

    • Bookings that used Pay Now to pay for the entire booking or to pay for booking overage or amenity costs.

    • Bookings that used Invoice Now.

    • Recurring bookings that you want to make non-recurring and vice versa.

    • Bookings synced from Google Calendar. For more information, see Google Calendar overview.

    • Bookings in the past that occurred before the current day.

Payment methods

Depending on the type of payment method used in the original booking, Kube performs certain accounting tasks based on the changes you make to the booking. For more information, see Editing a booking accounting overview.

When editing a booking, you can switch the payment type between hours/credits and Bill Later or from hours/credits to Pay Now, but you cannot switch between Pay Now and Bill Later or from Pay Now to hours/credits. Cancel and redo the booking if you need to switch between Pay Now and Bill Later or need to edit a Pay Now booking. For more information, see Canceling a booking.

If you edit an hours/credits booking and Kube refunds hours/credits, Kube automatically applies those hours/credits to future bookings that use Bill Later to pay for hours/credits. For more information, see Booking automatic adjustment overview.

If the booking had a coupon applied to it, you can remove the coupon from the Coupon Code field. You cannot add a coupon when editing a booking. For more information, see Coupons.

NOTE: If your country does not support payment processing or if the service is not enabled, you cannot use the Pay Now option. Instead, you can use hours/credits, Bill Later, or Invoice Now. For more information, see Payment processing off overview.

To review and edit a booking from the bookings menu

  1. Select Bookings in the top menu.

  2. Select Calendar View or Card View towards the upper left of the screen.

  3. Locate the booking.

    1. If using the Calendar View, click on the booking to open the booking details.

    2. If using the Card View, hover over the booking to view the booking details.


      TIPS:

      • You can use the property filter at the top of the screen to switch between properties. You can also use the Date Picker button to select the date the booking occurs on.

      • If the space allows simultaneous bookings, the Booking List appears. Locate the booking on the list and click the Edit button. Skip to Step 4.


  4. Click the Edit button.

  5. Complete the fields you want to change. For field descriptions, see Making a short-term booking.

  6. Click the Continue button.

  7. Select or change the payment method, if desired.


    NOTES:

    • If you added charges to a booking that only used hours/credits, you must select either Pay Now, Bill Later, or Invoice Now to pay for the new charges. For more information, see Making a booking accounting overview.

    • If you made no changes to the booking cost or do not want to change the payment method, leave the payment method as it is.


  8. Click the Book Now button.


    NOTES:

    • Some amenities require configuration, or assignment to a specific member. If you added or removed amenities that require configuration, Kube prompts you to configure the amenities.

    • If you edit a single booking that is part of a recurring series of bookings, Kube does not consider it part of the recurring series after editing. Once you save your changes, Kube considers the booking as a standalone booking.


To review and edit a booking from the company's bookings menu

  1. Select Customers in the top menu and select Companies from the drop-down menu.

  2. Locate the company in the grid and click the company's name. The Company Essentials window appears.

  3. Click Detailed View. Select Bookings in the side menu. The Manage Bookings screen appears.

  4. Click the three dot additional optionsbutton next to the booking.

  5. Click Edit Booking Details. The booking details screen appears. Make changes as desired, and click Confirm Booking.


    TIP: To view the booking details, select View Booking Details from the additional options menu. Or to cancel the booking, select Cancel Booking.


To review and edit a booking from the member's bookings menu

  1. Select Customers in the top menu and select Members from the drop-down menu.

  2. Locate the member in the grid and click the member's name. The Member Essentials window appears.

  3. Click Detailed View. Select Bookings in the side menu. The Manage Bookings screen appears.

  4. Click the three dot additional options button next to the booking.

  5. Click Edit Booking Details. The booking details screen appears. Make changes as desired, and click Confirm Booking.


    TIP: To view the booking details, select View Booking Details from the additional options menu. Or to cancel the booking, select Cancel Booking.
