When you add a user to your Zeeg organization, you're inviting them to become a member of your workspace. Once they accept the invitation, they'll have their own Zeeg account within your organization/workspace and can create their own scheduling pages, participate in team events, and collaborate with other members. Each additional user automatically adds a paid seat to your organization's subscription.
When a new user joins your organization, you automatically purchase a paid seat for that user. The cost depends on your current subscription plan. Each user requires their own individual seat.
How to add users to your organization
Follow these steps to invite new users to your Zeeg organization:
1. Go to Workspace settings in your Zeeg dashboard
2. Navigate to the Users tab on the let menu, then click on Invite user. Another way of doing this is clicking on the Workspace name on top of the left menu and inviting the user directly as long as you’re on the right workspace.
3. Now, enter the email addresses of the users you want to invite
Separate multiple email addresses with a comma (,)
Example: john@company.com, sarah@company.com, mike@company.com
You will be able to revoke an email invitation later from the Users page. Users are by default assigned the user role. The organization owner can always change users' roles.
4. Select a Role for the invited users from the dropdown menu
User (default): Standard team member access
Admin: Can manage users and organization settings
External: Limited access for external collaborators
The organization owner can change user roles at any time from the Users page.
5. Review and accept the Terms of Service
You'll see a note that your payment method will be charged for all active users
Check the box to agree to Zeeg's Terms of Service and Privacy Notice
6. Click the Invite button to send the invitations. Zeeg will automatically send an email invitation to each address you've entered. You can confirm on your dashboard that they’ve been added.
After users join
Once a user accepts their invitation and joins your organization, they can:
Connect their personal calendars
Join team scheduling pages (Collective, Round-Robin, Flexi)
Access the organization's CRM data (based on permissions)
Collaborate with other team members

Users can only join your organization using the exact email address you invited them with
The invited email address becomes their Zeeg account username
Users cannot change this email address or use a different one to accept the invitation
Assigning roles during invitation
You can assign a role when sending the invitation
Choose from User, Admin, or External
If you don't select a role, users are assigned the User role by default
Organization owners and administrators can change user roles at any time after they join
Managing invitations
You can manage pending and accepted invitations from the Users page:
View pending invitations: See which users haven't accepted yet
Revoke invitations: Cancel an invitation before it's accepted
Change user roles: Modify permissions for existing users (owner/admin only)
Assign roles during invitation: Set the appropriate role when sending the invite
You can change individual user roles at any time after the invitation is sent, even before they accept.
What invited users receive
When you send an invitation, each user receives an email containing:
A link to join your Zeeg organization
Your organization name
Instructions on how to accept the invitation
Information about creating their Zeeg account (if they don't have one)
User roles and permissions
Understanding the different user roles in your organization:
Owner: Full control over the organization, billing, settings, and all users.
Administrator: Manage users, settings, and organization features (no billing access).
User: Create scheduling pages, manage own calendar, participate in team events.
The organization owner can change user roles at any time from the Users page.
Removing users from your organization
If you need to remove a user:
1. Go to Workspace Settings > Users
2. Find the user you want to remove
3. Click the three dots (…) next to their name. Choose Remove user
4. Confirm the removal
When you remove a user, their paid seat is released and will no longer be charged on your next billing cycle.
Billing and seat management
How seats are charged
Each user occupies one paid seat in your organization. Seats are charged based on your subscription plan (Professional, Business, Scale, or Enterprise). Billing is pro-rated when you add or remove users mid-cycle.
If you have more than one workspace, seats are charged based on the specific workspace's plan that the user is part of. Each workspace has its own subscription and billing, so users in different workspaces may have different costs depending on each workspace's plan.

You can see your current seat usage in Workspace Settings > Subscription:

How many users can I add to my organization?
There's no limit to the number of users you can add. Each user requires a paid seat based on your subscription plan.
Can I add users without purchasing additional seats?
No. Each new user automatically adds a paid seat to your organization. This ensures every team member has full access to Zeeg's features.
What happens if a user leaves our company?
Remove them from your organization in Settings > Organization > Users. Their seat will be released and no longer charged after the current billing period.
Can I assign different roles to different users in the same invitation?
When inviting multiple users at once with comma-separated emails, they'll all receive the same role you select. To assign different roles, send separate invitations for each user or change their roles after they accept.
Should I assign someone as Owner or Administrator during invitation?
Be cautious when assigning Admin roles. Start with the User role and upgrade permissions after the person joins and you've confirmed their responsibilities. The Owner role is assigned to the workspace creator and can be transferred separately. Use the External role for contractors or external collaborators who need limited access.
Can users belong to multiple organizations?
Yes. A user can be a member of multiple Zeeg organizations with different email addresses, but each organization requires its own paid seat.
Do invited users need to have a Zeeg account already?
No. Users can create their Zeeg account when they accept the invitation. They'll be guided through the account creation process.
Can I change a user's email address after they join?
Users need to be removed and re-invited with the new email address. They'll need to set up their account again with the new address.
