Onboarding New & Existing Customers

The Akada Portal Account permissions allow you to control what information is required from potential and existing customers when creating an account through the Akada Portal. Unlike the Legacy Parent Portal, we've combined the Create Account & Existing Accounts. One page controls everything! Now, let's review what the options mean.

To Access:

Using the menu options, scroll down to Settings on the left, click on Akada Portal, and select Account Permissions.

New Customer Onboarding:

These settings determine the required information from and visibility to customers creating or logging into their accounts for the first time.

Family Contact Information:

Choose whether to allow and/or require your customers to enter additional parent and/or emergency contact information when creating their account.

Please save any changes. Once saved, the Akada Portal will be automatically updated. Keep reading for information about what personal information you'd like to gather from parents!

Billing Information:

This feature determines if the parent must provide credit card information and if they can view it. This option is only available for studios that have integrated credit card abilities.

In the example above, customers are required to enter a credit card, and they would be able to view that information. Please save any changes. Once saved, the Akada Portal will be automatically updated.

Student Information:

If you want parents to enter Student Notes and/or upload documents, the Student Information page will allow that option.

To enable parents to sign up for classes, update the Display Class Registration option and save any changes. Once saved, the Akada Portal will be automatically updated.

Account Information:

Here, you will select the personal information required for the account. Using the drop-down options, make your selections and save your changes.

Drop-Down Option Guide:

Not shown- Customers will not see the option.

Visible - Customers will only see the option.

Can Edit - Customers can see the option and enter/edit the field.

Required - Customers can see and are required to enter or make a selection for that field.

Visible and customer may add notes—The customer can see the account notes you have marked "visible to customer" and may add additional notes.

Family Contacts:

These settings let you choose which emergency contact information to display and require additional parents and Emergency Contacts.

Remember, the emergency contact name is always necessary. Studios may also allow parents to delete the entered information.

Please save any changes. Once saved, the Akada Portal will be automatically updated.

Billing Information:

Credit Card Information:

For studios that have integrated payments, control if the parents must have a credit card on file and recurring billing options.

Transaction Information:

Determine which transaction information is visible to your customers and, if applicable, how your customers can pay charges using these options.

Please save any changes. Once saved, the Akada Portal will be automatically updated.

Student Information:

These settings determine which student information is required and visible to your customers. The student's first name and last name are always required.

Drop-Down Key:

Visible - Customers will only see the option.
