Clean Up Assignments When Moving Users Between Groups (Sites) (Business Administrator)

Remove active assignments to prevent errors when moving users between Groups (Sites).

🧭 Before You Start

  • There must be zero Assignments associated with a user before they are moved to another Group (Site).

  • This includes Completed, Incomplete, and Not Started Assignments.

  • Assignments behave differently depending on whether they were created as one-off or scheduled (batch) Assignments.

  • This process must be completed before moving users or archiving a Group


🎯 Why This Matters

  • Assignments are tied to a specific Group (Site) and do not transfer with users.

  • Leaving Assignments in place can block user moves or cause hidden errors.

  • Scheduled Assignments can unintentionally affect multiple users at once if handled incorrectly.


⏱️ When to Do This

  • Before moving users to a different Group (Site)

  • Before archiving a Group (Site)

  • During site consolidation or organizational restructuring


📝 How Assignments Behave (Read Carefully)

  • Assignments may be:

    • One-off Assignments (single user, single instance), or

    • Scheduled Assignments (created as a batch for one or more users or on a recurring schedule).

  • When you select Modify Assignment, you are modifying all instances in that assignment batch, not just one row.

  • A user may appear multiple times if they receive assignments at a frequency (for example, 3 times per week).


🛠️ Steps: Clean Up Assignments

Step 1: Filter Assignments

  1. Open ANVL Manager and navigate to Assignments.

  2. Filter by User, if you are moving specific users


Step 2: Select the Assignment

  1. Locate the Assignment row.

  2. Select the checkbox next to the Assignment.

  3. Select ModifyModify Assignment.

⚠️ Important:

  • For one-off Assignments, this affects only that Assignment.

  • For scheduled Assignments, this affects all users in that scheduled batch.


Step 3: Choose the Correct Action

If you are moving a specific user (not archiving the Group):

  • If the Assignment is assigned only to that user:

    • Delete the Assignment.

  • If the Assignment is a Scheduled Assignment with multiple users:

    • Do NOT delete the Assignment.

    • In the Assignees list:

      • Remove only the user(s) being moved.

    • Save the Assignment.

This ensures the Assignment remains active for the remaining users.

If you are archiving the entire Group (Site):

  • Select Delete Assignment.

  • This removes the Assignment for all users in the Group.

Use this only when the Group is being fully retired

Examples:

This Assignment is assigned to a single user only. When moving this user to another Group (Site), delete the Assignment.

This is a Scheduled Assignment assigned to multiple users. When moving only one or some users, do not delete the Assignment—remove only the user(s) being moved from the Assignees list.


Step 4: Repeat as Needed

  • If a user was assigned to multiple Assignments:

    • Locate each Assignment instance, and

    • Delete the Assignment or remove the user from the Assignees list each time.

💡 Tip: For large group Assignments, you may need to zoom out or scroll to clearly see all assignees.


Step 5: Confirm Cleanup

  • Re-filter Assignments by the user or Group.

  • Confirm no Assignments remain for:

    • The user being moved, or

    • The Group being archived.

Do not proceed until you see "No Assignments Found".


⚠️ Watch Out For…

  • Deleting a scheduled Assignment removes it for all users assigned, not just one.

  • Completed Assignments still count and must be deleted prior to moving a user from a Site.

  • Users assigned at a frequency will appear multiple times.

  • Moving users before cleanup can result in blocked moves or hidden errors.


What You Should See

  • No Assignments associated with the user or Group.

  • Users can be moved without errors.

  • Groups prepared for archiving contain no users and no Assignments.
