A guide to explain how Breathe can help you manage the current Coronavirus situation from working from home to keeping up morale.

Here is how the Breathe software can help you manage Covid-19

1.    Monitor sickness

Our popular sickness management tool allows you to track sickness absences from anywhere.

Report sickness – or allow your team to report their own sicknesses – at a click of a button.

You can even create a new sickness type, ‘COVID-19 sickness’, for example, if you love detail as much as we do. Configure > settings > account > picklists > absence > sickness types

2.    Location tracker, Keep track of where people are working

Are a few of your team are working from home, but some essential workers are still on the premises? Breathe makes it super-easy to keep tabs on your team's locations. 

Breathe's location tracker allows your people to set their own locations, including working from home.

3. Furlough workers

Do you have workers that are going on or have already been placed on Furlough leave? Breathe can help with this. 

To log a person on Breathe that is in a Furloughed state use the 'Other' leave function, this type of leave does not use allowances so no deductions will be made. It will show in the reporting pages as other leave and then the selected Furlough reason. Please note it will show on the calendar as 'Other leave' this cannot be changed.

To add Furlough leave make a holiday booking as you would normally from within the leave tab but select 'Other' instead of Holiday, here in the drop down menu you will see Furlough as an option.

Please note; 

END DATE; You will be required to enter an end date for Furlough leave, if this is left blank it will automatically assign only one day, this will also result in them not showing on the dashboard as Furlough as the event has passed by the next day, it will only show those on Furlough until a future date. Our research shows the minimum Furlough leave at present is 3 weeks If you are unsure of the end date you will be able to add it in with the temporary end date then when you have the final date cancel and add it back in with the new end date, You are unable to edit the Furlough leave entry

ALREADY BOOKED LEAVE; It will cause a conflict if there is leave already booked in the system and you attempt to add Furlough leave as you are unable to have two types of leave entered at the same time on Breathe. You have a few options to choose which will suit your business; 

You can...

  • Enter the Furlough leave around the already booked holiday in separate entries Ending one set of Furlough when the holiday starts and then starting a new Furlough leave as the leave ends.

  • Remove the booked holiday, enter the Furlough leave and make a manual adjustment to the leave total to reflect the amount of leave taken, this will show in the adjustments tab with your accompanying reason.

  • Remove the holiday and make a note of the leave which can be done manually in the notes and reminders section under More on the profile or you can export it using the export feature and store it in the documents section, both found on the profile under the More tab. You will more than likely want to make a manual adjustment here also.

Once you have workers registered as 'Furlough' you will see them displayed on the dashboard. Please note; Only HR users are able to put people on Furlough leave.

 
You are able to filter the people list People > our people by choosing the Furlough filter, you will also be able to run the leave overview report which shows the Furlough entries. Ensure that you select the correct employment status also with this filter.

4.    Monitor performance remotely

Even though your  work force may be working remotely, regular reviews and performance based tasks can still be set and communicated. Breathe’s performance module allows you to set objectives and deliverables for your team to work towards, which you can mark as completed when they’re met.

You can also schedule remote one-to-ones and performance reviews to check in with them, discuss any areas of difficulty and set goals going forward.

5.    Benefit from cloud-based software

6.    Company documents, Store documents in one place

Upload and store any important COVID-19-related policies and documents in Breathe.

You and your team can access these from anywhere, fuss-free. You can even set a read requirement and deadline. The guide explains in more detail.

7.    Company announcements, Keep your team in the loop

Breathe makes communicating with the wider business a breeze with its Company Announcements feature.

Share any new important information using this tool. Your people will see this on their dashboard when they next log in.

8.     Log medical information

Store all important medical information for your people, especially those who are at higher risk of severe illness if they catch COVID-19.

You can also run a handy report to get any medical information that you need. Your people will find the Medical facts section on their profile under More > medical facts

9.    Access contact details with ease

Communication is more important than ever in these trying times.

Breathe makes keeping in touch that little bit easier by storing all contact details in one place.

Check in on your people, keep them up to date with the latest developments and continue working together as a team. You will find all contact details on your peoples profiles or the HR user is able to download the Data Export report Reporting > reports > HR reports > data export to show all people.

10.    Keep remote employees engaged

Keeping your employees engaged during these difficult times can be a challenge.

But with Breathe’s Kudos tool, you can praise your people and say “thank you” for their hard work.

Put a smile on their face, let them know how much they’re valued and keep them engaged with their role and the business.

11.   Track office equipment/assets

If your team are working remotely due to COVID-19, it’s useful to collate a list of who’s got what - whether that’s laptops, extra computer screens or office chairs.

Luckily, in Breathe you can keep track of the equipment that’s been taken home, the date it was given and when it's returned. You can also add notes with any asset numbers etc.

Make sure this module is switched on to make use of it. Head to Configure > settings > account > modules to activate it and then set your equipment types up here; Configure > settings > account > picklists > pay and benefits > equipment types

In each persons profile under the More tab equipment will be now available to be selected.
