Brindlechute gives you full control over how your organization communicates with clients, guides, and internal team members. Whether you’re confirming a booking, reminding someone of an upcoming trip, or following up after an experience, notifications help automate your operation while keeping your service personal and professional.
Accessing Notification Settings
To locate your notification settings:
Click your Organization name in the top-left corner of the dashboard.
Select Notifications from the dropdown.
You’ll arrive at a settings page divided into four tabs:
Client
Guide
Team
Settings — organization-wide email behavior that applies across all three audiences. See Send Booking Emails as the Assigned Booking Manager.
Each section is designed to streamline communication and reduce manual work while offering strategic places to infuse your brand and voice.
Client Notifications
This section manages the key communications your clients receive throughout the booking experience—covering everything from confirmation to payment to post-trip feedback.

Key Traits:
Mostly Automatic: The majority of messages are built into the Brindlechute booking flow and can't be turned off organization-wide—though any of them can be turned off for an individual booking.
Fully Customizable: Every client email can be customized to match your outfitter’s voice and values—including the content and the text on the email’s button. Click Edit template next to any notification to update it, and use the Send via dropdown to choose Email, SMS, or both—see How to Manage SMS Notifications. Notifications with Extra Options:
All client emails are editable, and these templates offer additional controls like timing or the ability to turn them off:
Some notifications, such as payment confirmations, may be triggered automatically at multiple points in the booking and payment lifecycle, ensuring clients are kept informed at every stage.

Note: For bookings involving ACH payments, clients will receive an additional confirmation once the payment settles, ensuring clear communication of both booking and payment statuses.
Invoice Reminders: setting how often reminders get sent
There are three invoice reminders on the Client tab, and each one has its own ON/OFF toggle. All three are on by default—if you’ve never touched these settings, your clients are receiving them. You set the cadence; there’s no fixed system schedule.
Click Edit template on any of them to set the timing:
If a client hasn’t paid their deposit (Invoice Deposit Payment Reminder)
Set Reminder frequency (how many days apart reminders go out) and Number of messages to send. Default: 2 messages, 2 days apart.Before a balance is due (Invoice Final Payment Reminder)
Set Days before final payment due date. This one sends a single email. Default: 2 days before.If a balance is past due (Invoice Final Payment Overdue Reminder)
Set Reminder frequency and Number of messages to send. Default: 1 message, 2 days after the due date.
When deposit reminders start
Deposit reminders don’t begin on the due date itself. The first one goes out once your reminder frequency has elapsed after the deposit due date passes. At the default of 2 days apart, the first reminder lands 2 days after the due date.
Resending an invoice restarts the deposit reminders. The sequence counts from whichever came later—the deposit due date, or the last time you sent the invoice. If you resend an invoice while a deposit is still unpaid, the full reminder sequence starts over from the resend date. Worth knowing if resending invoices is part of your routine follow-up.
When reminders stop
Once the balance is covered. If a client pays partway through a sequence, the remaining reminders are cancelled automatically.
When the sequence finishes. Because you set a total number of messages, reminders stop on their own rather than continuing indefinitely.
Partial payments don’t stop overdue reminders. If a client pays part of an overdue balance, the remaining reminders continue on their original schedule until it’s fully paid.
Whatever cadence you set, the emails themselves go out at 5:00 p.m. Mountain Time.

Even though these templates apply to all bookings (not individualized by guide, season, or location), editing them is one of the most effective ways to differentiate your service. You can:
Add local insights that apply year-round (e.g., fishing techniques across seasons, regional wildlife, what to pack)
Reinforce your values—hospitality, safety, sustainability, etc.
Include a warm sign-off or thank-you message
Direct clients to useful resources or links on your site

Guide Notifications
Guide notifications are automatically triggered when guides are assigned to trips or when client actions affect their itineraries.

Team Notifications
This section handles internal alerts for your admin or management team, helping you stay on top of daily operations.

These notifications are system defaults designed to keep your operation running smoothly and your team in sync without requiring manual oversight.
Settings
The Settings tab holds organization-wide email behavior rather than individual notifications. Options here apply across client, guide, and team emails.
Send as the assigned Booking Manager — routes each booking's emails through the Booking Manager assigned to it, so replies reach that person instead of your whole organization. See Send Booking Emails as the Assigned Booking Manager.
Best Practices
Review Settings Seasonally: As your operations change with the season or staffing, revisit what messages are being sent and how they sound.
Stay On-Brand: Use language in templates that aligns with how you speak to clients and guides in person.
Focus Where It Matters: You don’t need to edit everything. Just personalize the client-facing and pre-trip templates that reflect your service the most.
Test Internally: Have your team review sample messages to ensure they feel warm, informative, and aligned with your outfitter’s tone.
