Understanding the Confirm Cancellation Window

What each section of the Confirm Cancellation window shows — refund options, refund settings for each client, the suggested refund, and booking impact.

When you click Cancel on a booking, the Confirm Cancellation window opens. It shows your options and previews how the cancellation affects the booking's payments before you confirm. For step-by-step instructions, see How To Cancel a Booking.

Cancellation Policies

The Cancellation policies link at the top of the window opens your cancellation terms, so you can check them before deciding how much to refund.

How Would You Like to Proceed?

  • Refund the client and cancel the booking — cancels and refunds in one step. The Refund settings section appears so you can enter the refund amount.

  • Cancel without refund (settle balance to $0) — cancels without returning any money. The Refund settings section is hidden, and the confirm button changes to Confirm cancellation without refund.

Refund Settings

This section appears only when you choose to refund. Each client who paid on the booking has their own section, with:

  • Amount to refund — the total to return to that client.

  • A table of the client's payment methods (for example, a card ending in 4444), with the payment date, the balance available on each, and the amount being refunded to it.

If more than one client paid on the booking, enter an amount in each client's section.

Summary

The Summary breaks down what was paid on the booking:

  • Total amount paid

  • Fees paid — processing fees paid and client booking fee paid

  • Tax paid

  • Balance paid

Below the breakdown, Amount to refund shows the total you're refunding. When refunding, a suggested refund appears under it: the total amount paid less fees (the processing fee, booking fee, and the debit fee to issue the refund).

Example: A client paid $1,203.71 in total, including $103.71 in fees. The suggested refund is $1,100.00.

Booking Impact

Booking impact previews the booking's balances after you confirm:

  • Booking balance after cancellation

  • Balance paid

  • Client credit change

  • Outstanding balance after cancellation

Cancellation Email

For confirmed bookings, check Don't send cancellation email at the bottom of the window to cancel without notifying the client.

Confirming

Click Confirm cancellation, or Confirm cancellation without refund if you chose not to refund. Canceling can't be undone — see What Happens When You Cancel a Booking.
