This article will teach you how to archive a member so that they no longer appear in your customer base.

If your member base comes from a migration from your previous provider, you may have many inactive members. It is also possible that some of your members have not been coming to your studio for a long time.

To avoid that these inactive members come to overload your customer database you can archive them.

Step 1: Archive a member

Go to the member tab, on the line of a member click on the trash can icon.

You can also do it directly on the member's form by clicking on the icon at the bottom right.

The system will warn you if the member still has :

  • unpaid invoices

  • active cards

  • future reservations or appointments

  • recurring reservations

  • current memberships

  • current auto-renewal memberships

It is preferable to set these last elements before archiving a member

Once archived, the member will no longer appear in your member list or in the member search. However, the history of all these activities (course cards purchased, reservations, invoices...) will be kept. The member will have the indication "archived" next to its name.

Note: Archived members are not deleted, they are simply hidden. Therefore we keep the history of all their purchases and reservations on the platform and in the reports. The only reports where archived members are hidden are "Member" and "1st session (collective)".

Step 2: Search for an archived member

To search for an archived member you can click on the search field and search for the name. The list of archived members appears at the bottom of the list of active members.

If you enter the member's email, number or exact name it will appear as a search suggestion.

Step 3: Filtering archived members with your smartlists

Smartlists are by default filtered on active members, you can choose to filter them on archived members by clicking on a smartlist and in the default filter choose "Archived". You can also select all members.

Step 4: Unarchive a member

To unarchive a member, go to the member's profile. You can access it using steps 2 and 3. On the member file, click on the green button at the bottom right.

Note: If the member is archived in the back office and the student reconnects to his account, the member will be automatically unarchived.
