Import FCL contracts to Cargofive

how to import FCL contracts

Contracts refer to the negotiated rates established directly between you and the shipping lines. These can be imported in file formats such as PDF or Excel.

To import an FCL contract we need to heat to Contracts >Sea Freight FCL

Click the on Import Contract button

Fill the contract basic info: Carrier, Equipment Type, Validity Date, Reference, and Direction (import or export).

And load the contract’s file (XLSX, XLS, CSV or PDF).

Finally click on Save

Note 🎆

You also have a "Remarks" field in this section, those remarks will be loaded as remarks to be shown to your client on the quote, any additional charge or comment about the quote will NOT be charged into the contract

(ex: If you write "Overweight +30usd aplicable to all routes" the system will note add a surcharge OVT - 30USD but just add the remark "Overweight +30usd aplicable to all routes")

Once you've loaded and saved your contract, it will set to status processing and the rates will not be visible on the search engine until the imported contract has a “Published” status, which may take up to 24 hours.

IMPORTANT ⚠️

  • Hidden columns or rows will NOT be processed. If you want all the info on the contract to be processed show all the data.

  • Filtered columns or rows WILL be processed. If you do not want something to be processed hide it or delete it

  • Only the specified validity will be processed. this means that if a contract has multiple validity dates, ONLY the date indicated on the request will be processed.

Upon completion of the import process, you will receive an email notification and the contract will be available on Cargofive and its rates visible on the rate finder.

Once the data has been processed, the status will change to “Published”, and you will have access to the list of ocean freight rates and surcharges. You can adjust the contract's preferences at any time by clicking the “Edit” option at the "...” button.

If desired, you can add restrictions to limit the search of the contract's rates to specific clients or users (your team) by entering their names.

If the contract includes remarks, you can add them.

Note 🎆

If you need to update the contract once published for new routes or prices, you can either edit it manually or have to make a new request. Changing the document on the "Files" section will NOT update the contract
