The Emergency List feature gives schools a reliable backup option when a booking isn’t filled straight away.
If your initial invite list and any selected backup lists (if using a Smart Group) doesn’t result in a filled booking, you can choose to have the request automatically sent to a wider group of casuals. You have two options:
Send to everyone on your school’s list who matches the booking criteria (role type, available on day)
Filter by specific subjects and year levels to target the right casuals for the booking.
How it Works:
Once enabled, if no one accepts the booking by the time the booking has timed out, the system will automatically send the request 30 minutes after the last person on your invite list has received it. This ensures you’re covering all bases without the need to manually re-send the request.
Do Casuals Know They Are Part of the Emergency List?
No. Casuals won’t know whether they are on the preferred list or the emergency list. They will receive a regular booking request just like any other casual. The booking request will appear the same, with no indication that they were selected from the emergency list. This keeps the process seamless and ensures casuals are contacted without any distinction between lists.
Step-by-Step Process:
Enter the necessary details, such as date, time, subject, and role. Select your preferred casuals to send the booking request to, add them to the booking request and then Refine the Invite details.
Activate the Send to Emergency List Feature
Check the Send to Emergency List box to enable the feature as you create the booking.
Apply Filters or Send to Remaining Casuals:
Filters: Narrow your search by subject or school level to target the most suitable casuals.
Remaining Casuals: Or, send the request to all remaining available casuals who weren’t initially selected.
Delay Emergency List Request:
You can choose to send the request to the Emergency List up to 30 minutes AFTER the initial booking request goes unfilled.
Automatic Notification
If your preferred casuals do not respond within the set booking request timeframe or are unavailable, casuals on your Emergency List will be notified automatically, improving your chances of quickly filling the booking.
Make Your Emergency Booking More Effective
To increase the likelihood of filling a booking, you can provide additional information to ensure the request reaches the right casuals. Filters help you narrow down the Emergency List by levels and subjects, ensuring you contact the most qualified casuals.
How to Use Filters:
Filter by Level: Choose casuals with experience in specific school levels, such as Primary or Secondary.
Filter by Subject: Select casuals qualified to teach subjects like Maths, Science, or English.
These filters help ensure you contact the best-suited casuals, speeding up the process and improving your booking success.
Send the Request to Remaining Available Casuals
If you prefer not to use filters, you can choose to send your unfilled booking request to the all remaining and available casuals on your list who were not initially selected. This option ensures that your pool of available casuals is expanded, increasing the chances of filling the booking. The booking is only sent to those that match the booking role type selected (eg: Teacher, SSO/SLSO, Teacher Aide)
