Creating Bookings with ClassCover: A Step-by-Step Guide

Keeping your school running smoothly during staff absences starts with making efficient, reliable bookings. Whether it’s a last-minute fill-in or a long-term placement, ClassCover makes it easy to find and secure the right casual staff in just a few clicks. This guide walks you through the simple process of creating booking requests—helping you save time, reduce admin work, and get the coverage you need when you need it.

Creating a Booking Request (Desktop Version)

Follow these steps to create your booking request:

  1. Navigate to the Bookings Tab

    1. Log in to your account and go to the Bookings tab. Then, select Booking Request to start.

  2. Complete the Booking Information

    1. Fill out the following details to filter your search and create a shortlist of casuals for your booking request:

      1. Date(s) for the booking

      2. Number of casuals required

      3. Time period

      4. Role type

      5. Smart group (if required)

      6. Teacher(s) being covered

      7. Class(es) being covered

      8. Absence reason


    Providing more detailed information helps narrow down the search for the right casuals. If you don’t have all the details right away, use the Flexi Booking feature to proceed without them.

  3. Select Your Casual Shortlist

    1. Browse through the shortlist of casuals and select the ones you’d like to send the booking request to. If you don't have a casual preference, you can select Add All to include all casuals in the shortlist.

    2. Once you’re happy with your selections, click Add Selected to continue.

  4. Refine the Invite Details

    On the right side of your screen, you’ll see the Invite List. Here, you can adjust:

    1. Request Type: Choose whether to send the requests individually (in order of preference) with a set time between each request or send them all at once.

    2. Close Booking After: Set how long the booking request stays open before it automatically closes.

    3. Delay Send: Select a specific time and day in the future for the booking request to be sent.

    4. Send to Emergency List: If you don’t get any responses to your initial request, you can choose to have the request automatically sent to your emergency list once the original booking closes.

  5. Review and Finalise the Request

    1. Double-check all the booking details, including the casual’s availability, the dates, and class information.

    2. If nothing needs to be changed and you’re ready, click Send Invite to send the booking request now or at the time you have scheduled.

Securing Pre-Confirmed Bookings

Pre-confirmed bookings are designed to make life easier when you and a casual have already verbally agreed on the booking details—think of it as the final step after a verbal or written agreement. Once the booking is made, it’s locked in immediately—no need for the casual to confirm.

Because of this, it's important that pre-confirmed bookings are only used after an agreement is in place. Using this feature without prior confirmation can cause confusion and inconvenience for casuals.

To ensure fairness, casuals have the option to disable pre-confirmed bookings for schools that use this feature without first checking availability. In these cases, your booking will automatically revert to a regular booking request.

Pre-confirmed bookings are also where you can book for non-consecutive days.

Simplifying Repeating Bookings for Your School

The repeating booking feature on ClassCover lets schools schedule recurring bookings for casuals, saving time and ensuring consistency. Perfect for regular or non-consecutive shifts, it automatically adds future assignments to the calendar without manual entry, streamlining the booking process. This can also be done via Pre-confirmed bookings.
