Adding New Coaches to Your Organization

How to add new coaches to your CoachRx organization, transfer existing coaches, and what to expect during onboarding.

Super Admins and Owners can add new coaches to their CoachRx organization. This article covers how to add coaches who are new to CoachRx, how to transfer coaches who already have accounts, and what happens after a coach is added.

Adding a New Coach

If the coach does not already have a CoachRx account:

  1. Go to the Coaches page in your organization

  2. Click "Add Coach"

  3. Enter the coach's first name, last name, and email address

  4. Click "Add"

The coach will receive an invitation email to set up their account. Once they accept, they will appear in your coaches list with the Coach role by default.

Transferring an Existing Coach

If the coach already has a CoachRx account with another organization, you cannot add them directly. This prevents account conflicts and protects existing client data.

To transfer an existing coach:

  1. Contact CoachRx support at coachrxsupport@opexfit.com

  2. Provide the coach's current email address

  3. Let support know which organization the coach should be transferred to

  4. The support team will handle the migration

What Happens After a Coach is Added

New coaches are assigned the Coach role by default. This gives them access to manage their own clients but no visibility into other coaches' clients or organization settings. Super Admins and the Owner can change a coach's role at any time from the Coaches page.

Removing a Coach

Super Admins and the Owner can remove a coach from the organization:

  1. Go to the Coaches page

  2. Click the three dots next to the coach's name

  3. Select "Remove"

Important: When a coach is removed, all of their clients are automatically transferred to the Organization Owner. Make sure to reassign clients before removing a coach if you want them distributed to specific coaches instead.

Q: Who can add new coaches?

A: Super Admins and the Owner. Coaches and Admins do not have permission to add new team members.

Q: Is there a limit to how many coaches I can add?

A: No, there is no limit on the number of coaches in your organization.

Q: Can a coach belong to multiple organizations?

A: No, a coach can only belong to one organization at a time. To move a coach between organizations, contact support.

Q: What role does a new coach start with?

A: All new coaches are assigned the Coach role by default. Super Admins can promote them to Admin, and the Owner can promote them to Super Admin.

Q: What if the invitation email doesn't arrive?

A: Ask the coach to check their spam or junk folder. If it still hasn't arrived, contact coachrxsupport@opexfit.com for assistance.
