Who can use this
You must be a Network Admin on your Coworker network.
What are Groups?
Groups are collections of users that make it easy to share content and manage data access at scale. Instead of adding people one by one, you can share CoDrive files, folders, meetings, and agents with an entire team in a single step.
Groups also control data source access — when a group is granted access to a connected data source, all members of that group automatically get that access.
Groups can be created directly in Coworker or synced automatically from your HR system (HRIS).
Accessing Groups
Click the Settings icon in Coworker.
Select Groups from the menu.
You'll see two sections:
Coworker groups — groups created or managed directly in Coworker.
Synced from HR — groups imported from your connected HRIS. These are read-only in Coworker; changes must be made in your HR system.
Creating a group
Go to Settings > Groups.
Click Create group.
Enter a group name (max 40 characters) and an optional description (max 100 characters).
Click Save.
Once the group is created, you can add members.
Adding and removing members
Add members
Open the group from Settings > Groups.
Click Add members.
Search for and select the people you want to add. You can also add everyone from an existing group at once.
Save your changes.
Remove members
Open the group from Settings > Groups.
Find the member you want to remove and click the remove option.
Confirm the removal in the dialog that appears.
Removing a member revokes any access that was granted through the group — including Drive items, folders, meetings, and data sources.
HRIS-synced groups
If your network has an HRIS connected (such as BambooHR, Rippling, or Okta), groups from that system are automatically synced into Coworker and listed under Synced from HR.
Synced groups are read-only in Coworker. To add or remove members, make the change in your HR system — membership updates sync to Coworker and propagate to all shared content automatically (typically within 10 minutes).
ℹ HR-synced groups drive the same access controls as manually-created groups, including data source access and Drive sharing.
Using groups to share content
Once a group exists, any member of your network can share CoDrive content with it.
Files and documents
Open the Share dialog on any CoDrive file.
Type at least 2 characters to search for a group.
Select the group under the Groups heading and assign a role.
Click Share.
All current group members will gain access. As membership changes, access updates automatically.
Folders
Folders can be shared with groups the same way as files. The group's access cascades down to all items inside the folder. Subfolders that inherit from a parent will show the group as Inherited and cannot be individually changed.
Meetings
Meeting recordings and notes can also be shared with a group from the CoDrive or Meetings page. Sharing a recurring meeting with a group covers the entire series.
Agents and artifacts
Agents and artifacts can be shared with groups, making it easy to give a team access to shared AI workflows and outputs without managing individual permissions.
ℹ If a person has both a direct share and a group share, their direct role always takes precedence.
Granting data source access to a group
Admins can use groups to control which users have access to specific connected data sources.
Go to Settings > Source Settings.
Select the data source you want to manage.
Assign the group to that source.
All group members will receive access. If someone is removed from the group, their access to the data source is revoked automatically.
⚠ You cannot delete a group that is currently granting access to a data source. Remove the source grant first, then delete the group.
Deleting a group
Go to Settings > Groups.
Open the group and select Delete.
Confirm the deletion.
Deleting a group removes all access granted through it — from Drive items, folders, meetings, agents, and data sources.
