How to review your setup to ensure you've got everything set up correctly

In this article you'll work through a list of important checks to ensure that your CreditorWatch Collect account is set up correctly before you start sending reminders.

Before you begin, check that your account is paused, so reminders will not be automatically sent until you're ready to go live.

1. Review your workflows

Well designed workflows are critical for achieving a highly automated and consistent credit control process.

1.1 Considerations

  • Have you created workflows for customer groups who need a more tailored follow up process? For example, should long time, consistent payers receive a different series of reminders?

1.2 Check each workflow

  • Check that each reminder is worded correctly and uses terminology your customers are familiar with

  • Check that the correct template (HTML or plain text) is used for each reminder

  • Confirm that the correct reminders are set to send automatically

  • Check that the correct placeholders have been used

  • Confirm the correct users are cc'd on specific reminders

  • Remove any SMS reminders if they're not required

  • Remove any Call reminders if they're not required

1.3 Confirm your default workflow is correct

One of your workflows must be marked as 'default'. This is the workflow that is used for all contacts, unless you specify otherwise.

2. Update your contacts

2.1 Mute contacts

You likely have some contacts you never want to send reminders to. To prevent reminders from being sent you can mute these contacts.

2.2 Assign contacts to specific workflows (optional)

One of your workflows must be marked as 'default'. This is the workflow that is used for all contacts, unless you specify otherwise. However, if you want to use a different workflow for specific contacts, follow these steps through the Contacts View.

NB: If the contact(s) already have invoices in CreditorWatch Collect, you will need to change the collector currently assigned to them. Follow the same process from the Account View.

3. Check your reminder settings

Review and update your reminder settings, including:

  • Sending time

  • Skip weekends

  • Email sender settings

  • Template settings

  • Account Summary settings

  • Include logo

4. Create an online payment gateway

Consider adding an online payment gateway

5. Check the Schedule

The Schedule (in the main menu) shows a list of upcoming reminders and calls. Reviewing the Schedule is an easy way to confirm what reminders will be sent, before you start sending reminders.
