Everything you need to know about managing your eatwith calendar

This article includes the new calendar features released in June 2023.

What's new?

  • You can now set your calendar default availability for particular days of the week. This is useful if you only host on some days of the week, e.g. Saturdays and Wednesdays only.

  • A new layout that will make it easier to access information.

Manage and edit the calendar

As soon as your experience is published, your calendar will be open by default. This means that all dates will be available for booking.

Note: you can only update your calendar for experiences that are published. If your experience is in draft or waiting to be reviewed by the team, you won’t be able to update your availability.

Changing default availability

  1. To update your default availability, go to your calendar, and click on the green calendar button.

  2. Select all or one of the experiences you want to manage your availability for.

  3. Choose the option 'edit my default availability'

  4. Select all or one of the experiences you want to manage your availability for.

  5. Select the day(s) of the week you want to host. For example, if you select Monday, all Mondays in the future will be available for booking.

  6. Click on save. The window will close and your calendar will be updated.
    Please note that the changes will reflected in all the upcoming dates.

Closing the calendar by default

  1. To update your default availability, go to your calendar, and click on the green calendar button.

  2. Unselect all the days of the week.

  3. Click on “Save”, all the dates will be closed
    Please note that the dates will remain open if you have pending or confirmed bookings. You will need to cancel the requests first before closing the dates.

Opening/closing specific date(s)

Select the date you want to open or close on the calendar. Upon clicking on the selected date, a panel will pop up to the right, click on 'close all events' or 'open all events'.

If you want to do it for a specific experience, click on (+) to open the event or on (-) to close it.

Changing availability for a specific period, e.g. for a holiday

  1. Click on the green calendar button in the top right corner of your calendar.

  2. Select all or one of the experiences you want to manage your availability for.

  3. Choose the option 'edit availability for a specific period'

  4. Select a date range to apply the changes.

  5. Select the day of the week you want to host or close. If you unselect all the days, all the dates will be closed.

  6. Click on "Save" to save the changes.

Note: the default setting will remain the same outside of the range of dates you have selected to apply the changes in.

Updating availability for a specific experience

  1. Click on the green calendar button on the top right corner of your calendar.

  2. Select the experience you want to apply the changes for on the dropdown menu or scroll to the right on mobile.

Understand your calendar

Open dates with scheduled events are blank on the calendar

  • On the calendar, all the blank dates are open for booking by the guests. The dates with padlocks are not available for booking.

  • Click on any date on the calendar to see the events scheduled on this specific date. You can edit the details of the event scheduled on this date on the panel that will pop up to the right upon clicking on the date.

Closed dates have a padlock on the calendar

  • If you are not available to host, you can close specific dates. On your calendar, you will see a padlock on them, which means that you will not receive any booking requests on these dates (on both eatwith or on our partners' websites)

In this example, the 2nd of July is closed.

Booked events appear as green highlights

  • On the calendar, your booked events, these are pending and validated booking requests as well as scheduled private events, will appear as green highlights with information on the title of the event and number of people booked.

In the example below, you have a confirmed booking for 2 guests on July 13th.

Editing the details of an event on a specific date: price, min/max number of guests, booking deadline

  1. Click on the date on the calendar, a panel will pop up to the right, choose the experience you want to edit the details for.

  2. Click on "Edit details" and edit the details as needed.

  3. Click on "Save changes".

Create a private event, and a link to share it

  • Click on the date on the calendar and choose the experience you want to create a private event for.

  • Click on "Edit details" and change the event visibility to "Hidden"

  • Click on "Saves changes"

  • Click on "Share", and a link to share will pop up

Can I close my calendar if I have pending or validated booking requests?

No. You have to cancel or reject your booking request(s) before you can close your calendar.

I only host private events. How do I make sure I only get private event booking requests?

You have to select "Private Events only" in the bookings options of your experience.

Your calendar should be open by default, available for booking.

Will my eatwith availability be reflected automatically on partner's websites?

Yes, the eatwith calendar is automatically synchronized with our partners websites. However, it may take some time for bookings to appear.
