How to create a Precinct Call List for voter contacts

Voter lists may be exported from Data Center as a spreadsheet or as a Precinct Call List, which is a simplified contact list that can be saved as a PDF or other file formats. A separate file is created for each precinct in your voter list results, and the list request should not include more than ten precincts. Use the Export Count or Export File option to create a spreadsheet instead.

When to use Precinct Call Lists

A Precinct Call List contains minimal voter contact information that can be applied for phone banking or neighborhood canvassing when using a mobile application is not practical. Paper lists may be distributed to volunteers, who can use the Response column to add notes for the voter contact project. Use a file export to create targeted voter lists into a spreadsheet with more information and sorting options.

Add your count criteria and select Preview Count to verify your count results. Select Create List to set up the Call List.

Click and drag your count criteria into group boxes for count results. Select Call List to advance to the List Results page.


List Results

Review your count results and verify that the Total Precincts count is ten or less. List requests with over ten precincts may throw an error. Use the Back to Counts button to return to your count criteria and select Export Count (Basic Counts) or Export File (Advanced Counts) to create a downloadable spreadsheet.

Household List Format

The Call List format includes a row for the Household Name (such as The SMITH Household), Address, and Phone (using the Primary Phone). Separate rows may be included for individual members of the household using these options:

  • Households - Only Members Matching Count includes the names of voters which match the count results in separate rows

  • Households - All Members includes the names of all household members, regardless if they match the count results, in separate rows

  • Individual Voters includes each voter name as a separate contact, regardless if they share the same address or phone number

List Sorting Order

Select the appropriate sorting order:

  • By Voter Alphabetically: records are sorted by the voters' last and first names

  • By Voter Within Precincts: records are sorted by precinct name and voter name

  • By Voter Within Zip Code: records are sorted by the registered address zip code and voter name

  • Precinct by Street Order: records are sorted by precinct, zip code, street name, house number, and voter name

  • Odd/Even Order: records are sorted in Street Order, using the odd house numbers and then even house numbers to walk one side of the street and then the other side

Select Create List Now to create the new Precinct Call List(s)

Download Call Lists

A separate Download link will be created for each list in your count results by precinct. Click the Download link to display a preview of the report in the web page. Some data elements may appear to be truncated or incomplete, but the complete voter records will be available when the file is saved into the desired format.

Click the Save As icon in the report menu bar above the Precinct Name header. Files may be saved in the following formats:

  • Word: saved as a Microsoft Word Document (.docx)

  • Excel: saved as a Microsoft Excel Workbook (.xlsx)

  • PowerPoint: saved as a Microsoft PowerPoint Presentation (.pptx)

  • PDF: saved as a Adobe Acrobat Document (.pdf)

  • TIFF file: saved as an image (.tif)

  • MHTML: saved as a MHT web page that can be opened in a web browser (.mhtml)

  • CSV: saved as a comma-separated values text file (.csv)

  • XML with report data: saved in XML format to be used with Microsoft SSRS (.xml)

  • Data Feed: use for Power Pivot in Excel or other programs as a data feed source (.atomsvc)

Report Data Fields

  • Precinct Name: Precinct Name, Precinct Number

  • Voter Name: based on the Household Name Format option

  • Address: registered voter address

  • Phone: primary phone (most recently added landline or cell phone with best Telephone Reliability Code)

  • Sex: Gender (M/F/U)

  • PV: Overall Voter Frequency Score; PV = Perfect Voter (legacy field name)

  • Prty: based on the state's party affiliation scheme

  • Age: calculated voter age by birthdate

  • Response: empty column to add responses or contact notes

Export a spreadsheet to include other voter field values including separate landline and cell phone numbers, districts, other parties, demographics, and more.
