Getting Started with Stock Orders

Golf Genius - Golf Shop provides the tools to efficiently upload, place, organize, and manage your stock orders throughout the golf season. Entering and placing orders to vendors is very easy, allowing you to track orders through the entire process.

Stock Order Settings:

Before getting started with a stock order, it is important that you complete the initial setup steps. The Stock Order General Settings comprise the default settings for Stock Orders. When creating a new stock order, these settings are the default to assign purchase order numbers, automatic shipping transitions, finalizing options, and more.

To define these defaults, go to Orders > Stock Orders > Settings. For more details, Click Here.

Stock Order Sizing Tables:

Note: Any custom fields with the word "size" in the name will not be displayed in the attributes column of a stock order. If you need a size field for a stock order, create a Stock Order Sizing Tables.

Before entering stock orders, you will want to visit the stock order sizing tables to create sizing tables to assign to product categories. You can find these by going to by going to Orders > Stock Orders > Sizing Tables. You will have the option to create your sizing tables which allow you to enter sizing information for each product when entering a detailed stock order (as shown below).

Dashboard Overview:

Golf Shop has an area dedicated to managing your stock orders (as shown below). To access the Stock Order dashboard, go to Orders > Stock Orders > Dashboard.

When viewing the dashboard, your stocker orders will be organized into stages. The stages are:

  • Orders to Place: Stock order information was entered, but the order was not placed with a vendor.

  • Order Placed: Stock order placed to vendor.

  • Delivered: Stock order delivered to the club.

Stock Order Process:

Every stock order goes through a workflow and the three stages on the dashboard.

Below is a summary of the workflow:

  1. Entering Orders: The first step is entering the stock orders' details. When entering a stock order the vendor, dates (e.g., Cancel Date, Shipping window), categories of the items (e.g., Soft Goods, Hard Goods, Accessories, etc.), quantity, total cost, and much more are input in the the Stock Order Form. You can customize your categories to collect more granular details specific to each product category. Once stock orders have been entered, they will be placed in the "Orders to Place" stage. Two methods are available for entering Stock Order:

    1. Manual Entry: Manually enter a stock order from handwritten notes or other sources.

    2. AI-Assisted: Upload a PDF stock order using an AI-powered Stock Order Assistant to help you save time and improve accuracy when creating stock orders.

  2. Placing Orders: After stock orders have been entered, they can be marked as placed via in-person, phone, vendor website, or email. The stock orders will then be moved to the "Orders Placed" stage. Email notifications may also be sent to the vendor if placed via email. For more details on this step, Click Here.

  3. Entering Shipping Details (optional): Once any shipping details are received (expected ship date, expected delivery date, or tracking number) for the stock order, you can enter that information. After entering the information, the stock orders will stay in the "Orders Placed" stage but will indicate that the shipping information has been entered. For more details on this step, Click Here.

  4. Splitting Stock Orders (optional): A vendor may occasionally split the order into two, three, or more after an order is placed. You will also be able to split stock orders into multiple stock orders so you can enter specific details (e.g., Shipping, Invoice, etc.) about that portion of the order. After splitting a stock order, the split orders will stay in the same stage and receive a new but similar Order number. For more details on this step, Click Here.

  5. Receiving Stock Orders: When the club has received an order, the orders can be moved to the "Delivered" stage to signify that the order is ready to be received into inventory. For more details on this step, Click Here.

  6. Finalizing Stock Orders: Once an order is delivered, it goes through the process of being finalized. The order needs to be received into inventory, and the vendor invoice needs to be received and processed. Once an order is finalized, it will disappear from the dashboard after 24 hours. Stock Order Reports:

There are several stock order reports available to download. To access all the reports, go to Report Center > Stock Orders(as shown below).
