Why We Built This
Visit notes today are a single free-text field — anyone can write anything, so entries vary wildly and there's no way to scan, filter, or report on them.
That makes it hard to catch a missed medication, answer an owner's question at pickup, or pull a clean record for compliance.
We've restructured visit notes into fixed types, times, and outcomes, so your team logs pet care the same way every time — and issues surface automatically instead of getting buried.
What It Means for You
Consistent logging across every shift. Medication, Feeding, Potty, Activity, and Condition notes all follow the same structure, so the next shift always knows what to look for.
Issues surface themselves. Anything that needs attention — a refused medication, a skipped meal, a flagged condition — is automatically highlighted in the notes drawer.
Faster answers at pickup. Filter and sort notes by type and date right in the drawer instead of scrolling a wall of text.
One click from the pet's profile. Jump straight into a pet's notes from their Visits & Purchases tab.
A real record for compliance and follow-up. Pull a report of every note logged across any date range, with owner contact info and a link back to the invoice.
How It Works
Visit notes still live on the invoice — they're just structured now.
1. Open Visit Notes on the invoice. Add a note for any pet on the reservation, including Meet & Greet invoices.
2. Pick a note type and time of day. Choose from Medication, Feeding, Potty, Activity, Conditions, Incident, or Other, and tag AM, Lunch, PM, Bedtime, or Other.
3. Log the outcome. Each type has its own action options — like Given/Refused/Skipped for Medication or a percentage for Feeding — plus an Additional Notes field for detail.

4. Filter, sort, and spot exceptions. The notes drawer filters by type and sorts by date, with flagged notes highlighted automatically.
5. Pull the report when you need it. Run a Visit Notes report for any date range, filterable by type and action, with owner contact info and invoice links included.
A Few Things to Know
Note types and actions are fixed for this release, not configurable per facility. Anything that doesn't fit a category goes under Other.
Existing free-text notes migrate automatically to Other, with the original text preserved in Additional Notes.
A note can be tagged to one pet or several on the same invoice.
The Visit Notes report is available to Admin and Manager roles only, since it includes owner contact info. Employees can still log and view notes in the drawer.
The notes drawer filters by one note type at a time.
