Employment terms FAQ

This guide answers some frequently asked questions on Employment terms.

What are employment terms?

Employment terms bring employment type, contract type, and place of work into a dedicated Terms card in the Employment section of the user profile. Each set of terms has an effective date, so Humaans keeps a history of changes and can schedule future updates, such as a contractor becoming an employee or someone moving to a different office.

To learn more, visit Employment terms.

What information do employment terms include?

Each set of terms includes:

  • Employment type: Employee or Contractor.

  • Contract type: A contract label managed by your organisation.

  • Work arrangement: Onsite or Remote.

  • Place of work: The office, or the remote working location.

  • Assigned location: An optional company location associated with a remote worker.

  • Effective from: The date the terms begin.

  • Terms can also include custom fields.

Can I schedule a change to employment terms in advance?

Yes. Select a future date in Effective from when you save the terms. The current terms stay in effect until that date, and an Upcoming badge on the Terms card shows the scheduled change.

What's the difference between updating terms and editing an entry?

Click Update to record a change with a new effective date. The earlier terms stay in the history.

To correct an existing entry, click View timeline, click the three dots on the entry, then click Edit. In the Employment terms history table, editing a row also corrects that record. To preserve a change over time, add a separate entry with a different effective date.

Can I delete an entry from the terms timeline?

Yes, if your role has permission to delete employment terms. Click View timeline, click the three dots on the entry, then click Delete. Deleting an entry is permanent. To keep the history, update the terms instead.

Can I set an effective date before someone's employment start date?

No. The earliest effective date you can select is the person's employment start date. To change the start date, visit Updating Employment details.

Why can't I find Contract type and Location in Employment details?

Both fields are part of employment terms. Click Update in the Terms card to change them. To learn more, visit Employment terms.

Is a contract type required?

No. Contract type is optional. In the Update and Edit forms, you must select an employment type, a work arrangement, a place of work, and an effective date.

Can a remote employee have an office location?

Yes. Select Remote as the work arrangement, turn on Assigned location, then select an office. The person still needs a city and country for the place they work from.

Why is a contract type missing from the list?

The list shows only contract types that match the selected employment type and aren't archived. To check or change a contract type, visit Manage contract types.

Where can I manage contract types?

Click Settings, click Employment, then find the Contract types card. You can choose whether each type is available for employees, contractors, or both. Archiving a contract type keeps it on existing records and stops it appearing for new terms.

To learn more, visit Manage contract types.

Where can I review changes across employees?

Create an Employment terms history table in Tables. Each row is a terms entry, so an employee can appear more than once across different effective dates. Your permissions determine which records and fields you can view or change.

To learn more, visit Employment terms history table.

Can I report on employment terms?

Yes. Employment type, contract type, and terms effective date are available in Reports. Reports support effective-dated fields when you report for a future date. The existing Place of work field remains available, including remote city and country.

Do I need to rebuild my workflows?

No. Moving these details into employment terms doesn't require you to rebuild workflows. Workflow forms continue to support filtering, targeting, and updating the relevant fields.

Can I move an existing custom field into Terms?

Yes. This can help when you want to track dated changes to information such as an employing entity. The original field and the Terms field don't synchronise automatically, so remap any connected integrations before you rely on the new field.

To learn more, visit Manage custom fields.

Who can view and edit employment terms?

Owners and admins can view and edit employment terms by default. Other roles see terms according to their permissions. To learn more, visit Managing permissions and roles.
