The Marketing Email feature allows you to create engaging email content that generates registrations from targeted audiences. No need to export your data to other systems, as all your data is in one-place in Let's Do This!

๐Ÿ’ก Note: To make best use of the email marketing tool, you should have the email marketing opt-in booking form question turned on. Please speak to your account manager about enabling this.

Opening the Marketing Email Dashboard

Click on Email campaigns, under Email Marketing within the Organizer Dashboard.

When you reach the email marketing dashboard, you can see all the campaigns that have been sent, in draft and scheduled to go out, alongside any performance statistics.

Creating an email

You can create a new email by clicking Create in the top-right hand corner of the dashboard.

After you click create, you will have the option to choose a template. You can either choose one of our pre-made templates or create your own to use for future emails (across transactional and marketing email).

Adding Campaign Details

In the overview step you'll be able to add key details to your email such as your subject line and domain settings.

Building an email

The email builder is meant to make it super easy for you to create an engaging marketing email that you can send to your participants.

Adding Components

The email builder allows you to drag and drop various components into your email. To start building, click on a component to add it.

Components available include:

  • Images: You can upload any images into, including GIF's. Images wider than 700px will be constrained to a max width of 700px. Any images with a width less than 700px will be displayed according to size.

  • Headings: Use these to surface any key information or titles. Text font and color can be changed in the 'branding themes' section.

  • Text: You can also add styling elements such as bold, italic, underlines, bullet points, numbers and hyperlinks. Text font and color can be changed in branding themes.

  • Buttons: Use these to encourage participants to click a call to action. Button font and color can be changed in branding themes.

  • Custom HTML: Add custom HTML snippets into the email. There are no limits to this component which means you can paste in full HTML emails into the email builder. All components have been designed to be compatible on both mobile and desktop (unless you choose to use custom HTML code that is not mobile/desktop compatible).

  • Dynamic Fields: Dynamics fields are not yet available on marketing emails. This is coming very soon!

AI Email Generator

One option in the email builder is to generate an email using our AI helper tool. To do so, you simply enter a prompt like:

"Write a last-chance registration email for my 10K race with a casual tone and include a 'Register Now' button."

When you click generate, the tool will create a suitable email based on that prompt.

Email Preview

You can use the preview functionality at any time to check your designs.

Toggle between Mobile and Web view to see how your email will appear on both. You can also send a test to as many email addresses you like.

Once happy with your email design, return to the builder and click Next to build your Audience.


Audience Builder

Audience Builder

Our Audience Builder for marketing was recently re-built from the ground-up to enable you to make the most of all your registration data in Let's Do This.

In the Audience builder you are able to create new "Filter Groups", which enables you to filter off a range of registration data including:

  • Events

    • Whether customers have registered for specific events and event years

  • Race Distance

    • Whether customers have registered for certain race distances

  • Memberships status

    • If you have a memberships program with us, you can filter based on a customers membership status.

  • Demographics (Coming Nov 5 2024)

    • This will enable you to filter based on gender or age.

When you add filter groups, the audience size in the top-right of the screen will automatically update, although for more complex queries this may take up to a minute.

For the Audience Builder you can use two different operators:

  • OR

    • Extends the size of the audience you are targeting by ensuring customers match any of the filters you specify in each filter group.

  • AND

    • Narrows the size of the audience by ensuring that customers have to match all of their criteria you specify in each filter group.

Once happy with your Audience selections, make sure to save your audience and save your draft.

Imported CSV's

You can alternatively, import CSV's to target in emails instead of using the email builder and then add exclusions to those audiences using live registration data of your event (e.g those already registered for X event).

Email Scheduling

Marketing Emails can be sent in 4 different ways:

  • Send Now: This sends your campaign immediately.

  • Time Scheduling: Enables you to select a specific date and time to send the campaign. This time and date is based on the time-zone you are currently in.

  • Event Milestone-based: Enables you to send the campaign based on a milestone - e.g., on the start date. You can choose exactly how many hours, days or weeks before or after the milestone to send the campaign.

  • User action-based: You can choose to setup the campaign to run continuously so that a user gets an email when they complete a specific action, for example, when registering for an event.

Choose your delivery setup and click Next.

Launching your email

The Launch page is the final step of the Marketing Email builder. Here, you can:

  • Review your high level campaign details, like Campaign Name, Subject Line and Preheader.

  • Send a test to an email address of your choosing.

  • View the total recipients your campaign will be sent to.

  • Save a draft and exit the builder without sending.

  • Send your campaign.

Once you're reviewed and are happy with your newly created campaign, hit Send to get it out to your participants.
