Creating a company skill matrix in Learned

In this article we show you the possibilities for creating a skill matrix.

In our other articles, we have discussed in detail how skills work and how you, as Admin, can manage all the settings around skills. In this article, we will show you how to easily add skills to the skill matrix yourself.

Skill matrix in Learned

With the skill matrix in Learned, you have the option as Admin to add different skills to job profiles. The different skills are divided into 5 expertise levels. Each level is then provided with different focus areas. The skill matrix offers you as Admin an overview of all added skills, their definition and the different focus areas per level.

πŸ’‘ You also have the option to export the skill matrix. To do so, click on the 'Export' button. In the export you will find the skill, definition and focus areas per level.

❗️ Note: You export only the selected skill category.

When linking the skills to the appropriate job profiles, you also indicate which level of the skill applies within the job profile. During an review on the skills, an employee and his coach can then carry out a review on the different focus areas within the level applicable to the job the employee holds.

How to add skills to the skill matrix

When you want to start adding skills and/or KPIs to the skill and KPI matrix, click on 'Add skill or KPI' button in the top right corner. You will see a pop-up where you have the option to search through all available Learned skill templates. Search for the skill or KPI you want to add. If it is not yet in the Learned database, click 'Create new skill'.

You can then add your own skill and elaborate further with specific focus areas per skill level.

πŸ’‘ When you use one of the Learned skill templates, the chosen skill is already fully worked out for you, including a definition + specified focus areas per expertise level.

When working out the skills with definition and focus areas per expertise level, Learned uses AI.

If you chose to use one of the Learned skill templates and have pressed start, you will then enter the screen where you can elaborate on the skill. To add a skill to the skill matrix, you have 4 steps to complete.

Step 1: Skill/KPI details

In this step, you determine the name of the skill or KPI, the skill category and the description of the skill.

Step 2: Levels and focus areas

In this step, you will find the different focus areas per skill level. You also have the option here to add any additional focus areas on which an employee will be evaluated.

Step 3: Jobs that require this skill

For each skill level, you can link specific job profiles where this skill is required on the selected level.

❗️Note: You can only search the job profiles you have added to Learned as Admin. When filling the skill matrix, do you want to link the skils and KPIs directly to a job profile? So make sure you have all job profiles that exist within the organisation in Learned before you start filling your skill matrix.

Step 4: Final check

In this step, you see a summary of everything you set in steps 1 to 3. If everything is correct, you can add the skill to your skill matrix. If, for example, you accidentally linked a job profile to the wrong skill level, you have the option to change this via the 'Edit' button.

πŸ’‘ You also have the option of saving a skill as a draft. Do this, for example, when you first want to add all the skills to the skill matrix and define them properly including focus areas, but do not yet want to link them to job profiles so that employees can see them.

Editing the skill matrix

You have the option to edit the skill matrix. To do so, click on the 'Edit matrix' button.

You can then use drag & drop to move focus areas from one skill level to another skill level if you find that this focus area suits the other level better.

If you want to add extra focus areas to a skill level, you can hover your mouse between two focus areas. A + sign will then appear, allowing you to add an extra focus area.

Editing added skills

When you are in the Edit mode of the skill matrix, you have the option to click on a specific skill. You are then taken to the selected skill. Here you will find the definition you gave to the skill, the different focus areas per skill level and which job profiles are linked to which skill level.

Do you want to edit the existing skill? At the top right, you have an 'Edit' button. You then have the option to edit the existing skill. You will find the same 4 steps as described earlier when adding a skill.

πŸ’‘ In addition, you can also edit existing skills from the 'All skills' tab. Here, also click the respective skill you want to edit and click the Edit button in the skill at the top right.

Best practices for working with skill levels

It is important to know that the set skill levels directly relate to the rating scale in the Learned review module. Therefore, keep the following in mind:

  • We recommend expressing each skill in multiple levels, for example on the 5 levels on which the Learned skill templates are also described.

  • Make sure each skill level has 2-4 focus areas on which you will evaluate an employee.
