Managing and Reviewing Orders in Meadow Admin

A reference guide to order statuses, types, sources, reporting, and how to read an order in Meadow Admin.

Order Statuses

Draft -- placed but does not hold inventory. Use when you want to assign inventory after the order is created. New -- placed, no action taken yet, does reserve inventory. Packed -- marked packed in Admin, with user and timestamp. Fulfilled -- completed at POS, in Admin, or via Onfleet. Value appears in Dashboard; loyalty points awarded only on fulfilled orders. Canceled -- products returned to inventory, value removed from revenue. All statuses except Canceled appear in Insights and Dashboard.


Order Types

In-Store -- created at POS, completed in-shop. Delivery -- delivered to a customer address. Pickup -- collected at your shop. All types support medical and adult-use. Anonymous orders can be enabled by disabling "Orders require attached customer" in settings.


Order Sources

Admin -- manually created using the Create Order button. Embed -- placed through your website's embedded menu. In-Store -- created through the Meadow POS iPad app. Phone orders can be created in Drawerless mode (pickup only) or manually in Admin (any type).


Finding and Filtering Orders

In the Orders tab, filter by status or search by Order ID or customer name. Same functionality is available at POS.


Orders in Reporting

Dashboard -- orders placed and fulfilled today, broken down by user. Insights -- all orders created in a given period including New status. An order created yesterday and fulfilled today appears in yesterday's figures. Orders Report -- most comprehensive. Filter by status, user, and date range (created during or fulfilled during). The Data tab shows one row per order; the Line Items tab shows one row per product sold.


Reading an Order in Admin

Each order shows: order number and customer ID, date and time placed, status/type/source, inventory location, activity log (who packed/placed/fulfilled and when), Onfleet and delivery details, integration and payment details, customer-facing order notes, internal team notes, customer profile notes, products and packages, tax/fee/discount breakdown, and grand total. Delivery orders have a View Delivery Receipt button that generates a printable inventory ledger. Returns and exchanges are available on fulfilled orders. Order status can be changed manually.

Important: Orders fulfilled in Admin or via Onfleet sync are not associated with a cash drawer.


Tips

  • Use the Orders Report -- not Insights -- for the most detailed view including status breakdowns and user attribution.

  • Draft orders are useful for pre-orders or phone orders where inventory is assigned after the fact.

  • Canceling an order automatically returns products to inventory. No manual adjustment needed.

  • Use the Line Items tab in the Orders Report for product-level sales analysis.
