How to Take Integrated Debit Payments and Close Out Your Shift

How to run a card payment through an integrated debit terminal in Meadow POS, then close out the terminal and your Meadow shift so the numbers match.

📌 About this guide: The Meadow POS steps below are identical no matter which integrated terminal you use. The terminal screens shown here are from the Nexgo Quantum.

If you run a Nexgo PayAuth, Dejavoo, or Ingenico terminal, your terminal screens will look slightly different, but the sequence to collect payment is the same:

  • Tip prompt (optional)

  • Confirm the total

  • Insert the card

  • Enter PIN

This guide covers transactions and end of day reporting. It assumes your terminal is already integrated and connected. Setup is different for every terminal, so if you need a refresher, start with the guide for your device:

Running a Card Payment

1. Confirm your terminal is connected

The terminal needs to be powered on, paired to the iPad over Bluetooth, and connected to your store's Wi-Fi.

2. Start your shift in Meadow

Open the Meadow POS app and enter your starting balance.

3. Build the cart and select Debit

Add the customer's items, attach the customer, and apply any discounts. In the cart, tap Payment Types, then Debit.

4. Tap the green total to open the Debit panel

Tap the green button showing the order total. The right side of the iPad turns purple and reads: "Activate the debit terminal when the customer has their card in hand and is ready to pay." Nothing has been sent to the terminal yet. The terminal is still sitting on its home screen.

5. Tap Initiate Payment when the customer has their card ready

Confirm the customer is ready to pay, then tap Initiate Payment at the bottom of the purple panel. This is the tap that sends the amount to the terminal. The panel shows a spinner and reads "Initiating Payment" while the request goes out.

⚠️ Do not tap Initiate Payment until the customer is ready to pay with their card. The request wakes the terminal and starts the customer flow, and the payment has to be resolved before you can send another one.

6. Leave the purple screen alone while the customer pays

Once the request lands, the purple panel updates to: "The payment request has been sent. When the customer finishes paying, fetch the completed payment using the button below."

The button now reads Get Payment. Do not tap it yet. Everything in the next three steps happens on the terminal, and the purple screen just sits there until the customer is done.

7. The customer adds a tip

The terminal shows the Add Tip screen with preset percentages, a custom amount field, and a No Tip option. The customer makes a choice and taps Continue, which shows the running total.

8. The customer confirms the payment breakdown

The terminal shows the Payment Breakdown: payment amount, applied tips, total with tips, rounded amount, expected cash back, and the transaction fee. The customer taps Confirm Payment. The amount on that button is higher than the order total because it includes the fee and any rounding.

9. The customer inserts or taps their card and enters their PIN

The terminal prompts "Please insert or tap your card," then asks for the PIN. It shows "Payment queued for processing" while it works. When the payment approves, the terminal prints its own receipt showing the total payment, the POS amount, and the auth code. That printed receipt is your cue to go back to the iPad.

10. Tap Get Payment on the iPad

Tap Get Payment on the purple panel. A green panel reading "The debit transaction was successful" means Meadow pulled the completed payment.

11. If the panel turns yellow, the payment is not finished

Yellow means the payment is still pending on the terminal. Give the customer a moment to finish, then tap Get Payment again. If the connection dropped and the payment cannot be resolved, tap Cancel Payment. That cancels the order as well, which is fine: the cart is still on the iPad, so you can ring it up again. The retry creates a brand new order with a new order ID, and the failed order stays cancelled.

12. Tap Finalize Payment and fulfill the order

On the green panel, tap Finalize Payment. Meadow shows Change Due of $0.00 and offers to print a receipt. Fulfill the order and the Meadow receipt prints.


Closing Out at the End of the Night

13. Close out the shift on the terminal

Tap the hamburger menu in the top corner of the terminal, then Shift Report. Tap View Current Shift to preview transactions without closing anything. To close the night out, tap Close Out and Generate Shift Report and confirm. The terminal shows transaction count, total amount, tip amount, and cash back amount, then prints the shift report with the POS amount and every transaction listed.

⚠️ Closing out the shift on the terminal cannot be undone. Use View Current Shift if you only need to check the numbers mid shift.

14. End the shift in Meadow

On the iPad, tap the hamburger menu, then Shift, then End Shift. Your Sales Summary opens. Print the receipt if you need a paper copy, use Adjust Balance if the drawer needs a correction, then tap End Shift.

15. Match the terminal's POS amount to Other sales

The POS amount on the terminal's shift report should match Other sales on your Meadow Sales Summary exactly. Transaction fees and cash back are not part of that number, so ignore the Debit terminal fees line when you compare. If the two do not match, log in to your payment processor's back office portal and compare transactions line by line against Meadow to find the one that is off.


Tips

  • Create the Debit payment type in your Meadow Admin Settings before beginning this SOP.

  • Close out the terminal at the end of every night. Starting a shift on a terminal that was never closed rolls yesterday's totals into today's report and makes reconciliation much harder.

  • Terminal settings, including integration keys and the option to turn off tip prompts, live in Meadow Admin under Settings > Integrations > Payments.

  • Want to adjust your tip options? Contact us and/or your payment processor for available options.

  • If a payment is successful on the terminal, but the terminal fails to update the POS to order: fulfilled (due to a drop in connection), you have two options to resolve the issue:

    • Complete the sale for Cash, then adjust the drawer in Admin for the amount of Debit.

    • Cancel the order at POS, then mark it as fulfilled for Debit in Admin. This won't correspond to the shift but it will fulfill the order in Meadow.
