Once a form is signed off, you can now have Med App automatically email the completed PDF to everyone involved — clinician, assessor, and any other participants. Saves a follow-up step for everyone and gives clinicians their own copy of the assessment without needing to chase one.
Different from email forwarding? Yes — email forwarding sends all completed forms to a designated email address you specify (e.g. a shared mailbox). This 'participant' option sends it to the actual people who completed the form, using their details.
When this is useful
Grad goal setting — Grad and preceptor complete rotation goal setting, once completed the preceptor also gets a copy in their email inbox they can review later in the rotation (e.g. before completing assessment).
Term assessments — both the trainee and supervisor have a copy on file without anyone needing to download and forward it.
Multi-section forms — everyone who contributed sees the complete, signed-off result.
Setting it up at the form level (default for new distributions)
Configuring this at the form level means every new distribution of that form will have the option turned on by default — each user can still override per distribution when they complete their section.
Open Communications > Forms and select the form.
Click 'Edit form' (or contact Med App if your form is locked for editing).
In the form settings, turn on 'Send completed form to all participants'.
Save the form.
Existing live distributions are not affected by changes to the form-level default — only new distributions you create after the change. To turn it on for a live distribution, edit that distribution directly (next section).
Setting it up at the distribution level (per-distribution override)
If you want to enable or disable this for a specific distribution only:
Open the form and find the distribution.
Click the 3 dots on the right and select 'Edit distribution'.
Toggle 'Send completed form to all participants' on or off.
Save your changes.
What participants receive
Once the form is fully signed off, every participant receives an email with the completed PDF attached.
The email is sent to the participant's registered email address on Med App.
The PDF is the same one available from the dashboard — fully signed and timestamped.
Letting participants opt out
If a participant doesn't want to receive the completed form by email, they can untick/not tick it when completing their section of the form.
This is per-user — the form will still be sent to other participants who have it enabled.
The person initiating the form and the admin team will also always be able to access the PDF via the app/dashboard.
Common questions
Q: Do participants need to be on Med App to receive the email?
No — as long as Med App has a valid email address for them (registered, or used to assign the form), they'll receive a copy.
Q: Can I combine this with email forwarding to a shared mailbox?
Yes — they're independent settings. You can have completed forms automatically sent to all participants and to one or more designated email addresses (e.g. an admin team mailbox) at the same time.
Q: When does the email send?
As soon as the form's final section is signed off as completed.
