Transferring Auctions Data into Donor Management - FAQ

With our new, upgraded Auctions pages, your auction results will automatically sync into your Donor Management System – helping to keep your fundraising data together in one place!

How will the purchases from my auctions reflect in my Donor Management System?

When your auction has concluded and your bidders have completed payment (either online or through an offline transaction), an Auction Item Purchase will immediately display on the Giving page within your Donor Management system. This Auction Item Purchase will also automatically be associated with a new Auction campaign, which can also be found under your Campaigns page.

You’ll also see a new “revenue line” on the graphs within your Donor Management system (such as on the Dashboard or within your Contact Records) that’s specifically designated to track your revenue from your Auctions purchases.

How will a winning purchase be displayed on the winning bidder’s Contact Record?

If the winner already has an existing contact record in the system, then the Auction Item Purchase will automatically be applied to that existing contact. However, if the winner used a different email address than the email currently listed in their Donor Management contact record, it may create a new contact record instead.

(If that happens, don’t worry! You can easily merge those two contacts by following the steps here.)

What if the auction item’s winner is not already a contact in Donor Management?

If the winner of the item did not already exist in Donor Management as a contact record, then a brand-new contact will be created.

What if someone wins and purchases more than one item during my auction?

Each Auction Item Purchase will reflect as a separate, individual transaction in Donor Management, even if a bidder wins multiple items at the end of your auction.

For example, if a bidder wins three separate auction items and then pays for the items through our online checkout feature, there will be three individual transactions that appear in Donor Management for that bidder.

What if I want to add the data for my bidders who did not win any items?

If you would like to add the bidders from your auction who did not win any items, this can be easily accomplished using the Bidder Export Tool and our Self-Import Tool within Donor Management.

From your Auctions page in Donor Management, you can navigate to the Bidders screen, then click on the Export button in the top-right corner. From this page, you’ll be able to download a .CSV file of all of your auction’s bidders.

Please note that this file will also contain all of the winning bidders’ information, which will have already synced over to Donor Management. You can either remove any of those winning bidders from that file, or you can keep them in – importing the winning bidders in again won’t create any duplicate contacts.

Once you have that file, you can use our Self-Import Tool to add that information directly into Donor Management!
