Creating transfer courses on the Edit Student Transcripts page

Add courses completed at another school directly to a student’s transcript.

When a student transfers into your school with courses your school does not offer, jmc allows you to create transfer courses to keep the student’s academic record complete and accurate. Transfer courses capture credits, grades, GPA calculations, and state-reporting details, reducing the need for manual workarounds and minimizing reporting errors. Once all required details are entered, the transfer course can be used on student transcripts.

Log in to jmc Office and navigate to Grading > Transcripts > Edit Student Transcripts, then click the "Add Transfer Course" quick link to open the "Add Transcript Course" window.

Step One: Select the appropriate school year from the "Year" drop-down list to create the course for that year.

Step Two: Enter the new transfer course name in the "Course Name" field.

Helpful Tip: If your school already has a comparable course, consider using it instead of creating a new one to support consistent credit, GPA, and reporting results.

Step Three: Enter the number of credits the student earned for the course in the "Credit" field.

Step Four: Place a checkmark in the "Grad Credit" checkbox if the course should count toward graduation credit requirements.

Step Five: Place a checkmark in the "Cum GPA" checkbox if the course should be included in the student's cumulative GPA.

Step Six: Select the number of credit-bearing term grades for the course from the "# of Credit Grades" drop-down list. For example, select "2" for a year-long course with two semester grades; half of the total course credit is applied to each semester.

Step Seven: Select a grading scale from the "Grading Scale" drop-down list to indicate the grading scale used for the course.

Step Eight: Enter any required course or state-specific information in the available fields to support accurate state reporting.


Step Nine: Click the "Save" button to add the transfer course to your jmc data and make it available for use on student transcripts.
