There will be times when you need to make changes to your contacts or view the information provided for a contact. This can be done by editing the contact, either from the Contacts page or within a property under the Contacts tab. We will review both options in this article but will first start with the Contacts page.
Editing a Contact From the Contacts Page
Go to your Contacts page and click on the name of the contact you want to edit or view the information for. This edit page can be split into three sections; Details on the left, Action Items in the middle, and Communication & Properties on the right. Let's dive into the left side first.
Left Side Details
Personal Details - Here, you can update any personal information for the contact as well as change the contact role.
Tags - If you want to add a tag to the contact, click + Add Tags. Need more information on tags? Check out these articles.
Personal Dates - You can add the contact's birthday or anniversary.
Business Details - Apply a business to the contact or add the details on the spot. It's important to note that if you create the business on the contact, you cannot apply the same business to other contacts. To learn more on this, follow along with these articles:
System Information - This is where you can see who created the contact, the date it was created, and where it was created. You also have the option to delete the contact.
Center Action Items
Notes - You can keep any information that does not fit on the left side details in the notes section. Contact notes are never included in any agent or client portals. If you have multiple notes for a specific contact, you can pin the important ones at the top.
Emails - This is where you will see any of the emails that are related to the contact.
Texts - Just like with emails, this is where you will see any texts that are related to the contact.
Calls - Any calls that have been placed for the contact will appear under this section.
Lead Source - Here, you will be able to select the lead source that the contact came from.
Groups - See what groups the contact belongs to. You can also assign or remove groups from this section.
Connections - Creating a connection between contacts is a great way to ensure that all the correct contacts get added to each property. Learn more about this by reading this article:
Client Portal - This is where you can automate sending a client portal to the contact every time they are added to a property.
Right Side Communication & Properties
Send an Email - If you need to send a one-off email to the contact, click on Email to compose your email.
Send a Text - To send a text to a contact, click Text.
Call Contact - To place a call to your contact, click on Call.
Search Properties - You can search and view all properties the contact is a part of.
Property Options - Each property listed can be clicked on to go to that property. You can click the Priority/Health bar to view your top priorities while staying on the contact or view any data requests specific to that property. Lastly, click on the coin stack to see the Property Options.
Editing a Contact From the Contacts Tab Inside a Property
Go to the property you want to work on and choose the Contacts tab. Find the contact you want to change and click on Edit. You will see some of the same sections that are listed above.
